Program Manager, School of Education

Job Summary:

The program manager student services is tasked with ensuring the processes within the School of Education in no way inhibit the student's education experience. This position will ensure all forms are streamlined and online for ease of use. They will ensure all processes are up to date, efficient and easy to follow. The person will also act as the Event manager for major events as directed by the Dean and other events as designated by the supervisor. This position will also be charged with acting as the program support for the department of Learning and Instruction.

Job Responsibilities:

1. Manage and oversee academic affair operations and related processes including: online form creation and completion/add & drop /inter program transfers/withdrawals/leaves of absences/transfers of credits/etc. to ensure they are efficient and easy to use for students, faculty and staff.
2. Responsible for the development, coordination, implementation, of policies, procedures, processes and daily guidelines to ensure smooth operations within Academic Affairs including but not limited registration, course changes, and/or graduation.
3. Partner with Associate Director of Student Services to ensure Academic Affairs processes are streamlined, easy to use, and ensure positive interactions between School of Education students, faculty, staff and multiple campus stakeholders as required
4. Event manager for School of Education events such as such as Fall and Spring student orientation, school-wide meetings, Research and Pedagogy Symposium, doctoral hooding ceremony, Higher Education and Student Affairs (HESA) Program Preview Days and other events as designated by supervisor.
5. Provide program support to the Department of Learning and Instruction. This will including working with faculty and students to ensure the administrative needs of the department are met. These may include:
a. Making room reservations
b. Ordering catering
c. Reserving Equipment
d. Sending/Following up on invitations
e. Preparing materials
f. Partnering with Budget Manager and Office of Admission and Outreach to ensure marketing and budget considerations are met
6. May be required to answer the phone line for School of Education and direct general inquiries to respective departments in receptionists absence
7. Manage SOE projects to become paperless ensuring all paper items are transitioned to Banner/Xtender
8. Will ensure storage policy for SOE both online and long term paper is followed and adhered to on an ongoing basis.
9. Other duties as assigned by associate dean for Academic Affairs

Minimum Requirements:

Bachelors degree
Minimum 5 years experience working in higher education preferably in academic affairs
The ability to represent School of Education with tact and diplomacy; work effectively with a diverse variety of internal and external constituents who interact with all offices within the school
Maintain a professional demeanor when dealing with emotionally charged individuals/issues.
Retain the ability to shift quickly between several tasks without loss of continuity, adapt to rapidly changing priorities, and be proactive.
Effective writing and interpersonal communication skills are essential.
Must have working knowledge of complex office procedures and the experience and desire to work collaboratively.
Ability to work in a self-directed fashion and meet performance goals and metrics.
Ability to construct multi-stage plans with hierarchical goals and outcomes, execute these plans, and then integrate results into future opportunities.
Ability to manage multiple overlapping projects simultaneously.
Must be flexible and readily adaptable to change, have excellent organizational skills and be able to prioritize masses of detail.
Previous experience in an educational, multicultural setting preferred.
Must have strong communication skills and diplomacy skills for building and maintaining relationships.
Must be able to manage and maintain confidential information.
Work may be required outside usual normal business hours.
Knowledge of the mission and goals of the University of San Francisco.
