Job Summary

The University of Colorado Boulder encourages applications for a Professional Assistant to Enrollment Management! This is a full-time position that reports to the Director of Budget & Finance and provides professional and administrative expertise and support to Marketing & Communications, and Pre-Collegiate departments, within Enrollment Management. General duties include: administrative support for the Assistant Vice Chancellors and Directors, HR and payroll functions, purchasing, travel coordination, expense reports, budget transactions, and supporting the office as needed. What Your Key Responsibilities Will Be

HR/Payroll Coordination
  • Assist in the hiring and termination of summer staff using three primary job classes: lecturers, temp aids, and student employees. Assist in hiring academic year staff as needed.
  • Initiate hiring using required spreadsheets. Work with EM HR on hiring and termination processes.
  • Provide all updated/appropriate hiring forms to applicants for completion of hiring process such as personal information worksheets, direct deposit, and employee handbook.
  • Ensure student timesheets are approved and submit Late Pay requests as needed.
  • Originate and oversee all HR actions for temporary and hourly employees by interpreting, investigating, researching rules, regulations, procedures and policies related to HR and payroll.
  • Act as the liaison and represent the departments at HR-related meetings.
  • Coordinate the search process by assisting the hiring manager with scheduling meetings with HR, creating a search plan, posting job announcements, scheduling interviews, making travel arrangements, and initiating offer letters.
  • Inform staff of upcoming performance management deadline and other important HR information.
  • Initiate the on-boarding process for temporary and student employees.
  • Resolve payroll issues for temporary and student employees, as needed.
  • Monitor and reconcile bi-weekly and monthly payroll records.
Office Support
  • Purchase office supplies and equipment, includes tracking inventory and handling disposal requests.
  • Organize and coordinate training and conference registrations and travel for staff.
  • Create and submit travel card and procurement card expense reports for all staff, on a bi-weekly and/or monthly basis.
  • Act as a liaison to other University departments such as Facilities Management, Housing & Dining/Conference Services, Procurement, Access Services, Parking, building proctor, etc.
  • Submit service and maintenance requests.
  • Manage access to the building and the office in all locations.
  • Organize/coordinate space-related issues: remodels, furniture orders, etc.
  • Maintain and update the applicable Staff Employee Handbooks and documents.
  • Coordinate activities and events as directed by department AVCs.
Direct Support
  • Manage the AVCs calendar as needed, includes scheduling meetings, making appointments, and prioritizing the most critical matters.
  • Plan, organize, and schedule meetings/events for the AVCs and Directors, as requested.
  • Assist with notetaking tasks for department and/or AVC led meetings.
  • Write, edit, and implement policies and procedures as needed.
  • Execute AVC assigned tasks and special projects.
  • Facilitate unit communications on behalf of department/AVC.
Procurement & Finance
  • Monitor and initiate department financial transactions, such as journal entries and payroll expense transfers.
  • Review and analyze monthly reports to ensure charges are accurate.
  • Manage service agreements and contracts.
  • Assist in maintaining financial records for tracking projects or program costs.
  • Perform fiscal year end close out processes, at the direction of the Director of Budget & Finance.
  • Respond to inquiries and produce financial reports for Enrollment Management as needed.
  • Work with Director of Budget & Finance for applicable department budget activities.
  • Gather and organize current and historical data for department reports by AVC and/or Director of Budget & Finance.
Other Duties
  • Attend training opportunities, staff retreats, staff meetings, conferences, webinars, etc.
  • Attend division wide meeting with peers.

  • Hybrid work schedule offered with a minimum of 3 days in the office per week.


What We Can Offer

  • The salary range for this position is $53,000 - $59,000 per year.

What We Require

  • Bachelors degree from an accredited college or university. Equivalent combination of education and experience may substitute.
  • At least one year of job-related professional experience.
