Professional Development Manager

Job Summary:

The Professional Development (PD) Manager implements training programs/workshops for administrative and hourly staff, faculty, and student workers that promote learning, encourage skill/core competency and career development, improve employee engagement and help achieve HR Department and institutional goals. The PD Manager is the system administrator for the HR PD LMS which is the database for faculty/staff in-house and online training opportunities and required trainings. The LMS is the vehicle for promoting and publicizing trainings, and provides tracking and non-compliance reporting for CA AB1825 compliance (anti-harassment required training). This person manages all online training vendors (Element LMS, Everfi/LawRoom/SkillSoft), troubleshoots technical issues to resolution, and provides technical support to system users. Based on needs-assessment results obtained every other year and ongoing PD research, the Manager develops a comprehensive fall and spring calendar of professional development events for USF employees, and administratively supports all in-person workshops and the selected workshop facilitators. The Manager also oversees the coordination and successful completion of the University's annual Service and Merit ceremony.

Job Responsibilities:

Professional Development
Manage the scheduling/implementation of a fall and spring PD Calendar a wide variety of online and in-person learning and development programs to improve the skill levels of faculty, staff and student workers.
Design/distribute employee needs assessment every two years to gauge individual needs/expectations and help ensure that HR professional development programs model best practices, are effective, of high quality and make good use of current technology.
Maintain relationships internally/externally and preview products/services to build a repertoire of presenters, facilitators, and online vendors to create diverse, multi-faceted professional development calendars. As needed, facilitate training sessions or book discussion series.
Conduct weekly orientation sessions for new staff. Via HRIS reporting, identify new staff, send invitations and coordinate session dates with Benefits. Create/maintain relevant and informational PowerPoint presentation and accompanying handout materials.
Coordinate and conduct periodic University Welcome sessions where new employees meet and receive essential information from key departments across USF on the institutions history, Jesuit Mission and values, diversity/inclusion, and personal safety issues. Create/maintain the overall PowerPoint presentation and accompanying handouts, and tabulate participant evaluation results.
Research trends in new employee onboarding/training and recommend changes to the orientation and welcome programs as needed to keep them useful and on-point.
Support the design/development of training modules through the use of PowerPoint and other software applications.
Working with the HR Communications Specialist, manage the information within the Professional Development sections of the HR website.

LMS/Online Training Administration
Is the learning content administrator for USFs LMS (myLearning). Oversee the site design, and add/maintain learning content for all staff/faculty professional development opportunities, including in-class and online courses.
Manage learning content quality and accuracy. Manage the design, preparation and implementation of all reporting and custom notifications needed for evaluations and accurate tracking and recordkeeping. Ensure that accurate/complete system extracts are sent by ITS.
Ensure that LMS users have a successful experience. Provide tech support/troubleshooting for user issues. Liaison with the LMS vendor and the online training course vendors to resolve all issues.
Conduct meetings as needed with the LMS and other vendors to discuss open and new issues, and determine how to appropriately resolve issues to minimize negative impact.
Manage the required Anti-Harassment training process so that training completions are recorded and accurately tracked through the LMS, and accurate reporting is developed, maintained and used to ensure compliance. Notify/remind those due for training each year as well as those who are non-compliant. Partner with HR Employee Relations to ensure that Deans/VPs are notified timely of non-compliant individuals.
Annually, assess the relevance/usefulness of the online course offerings through Everfi/LawRoom and SkillSoft. Based on user input/needs, make changes to the HR PD offerings. Manage all changes with course vendors and the LMS vendor to ensure seamless transition for users.
Research trends in the learning management field to ensure that HR PD is offering course content that is in high demand and that the LMS site contains or links to content that is relevant, up-to-date and useful for the target audience, particularly in the areas of diversity/inclusion, cultural competency, Jesuit Mission/spirituality, leadership/management, and emotional intelligence.
Ensure that all LMS statistics are gathered and maintained in the system (in-house classes, online courses, training time, RSVP and attendance lists, course completions and evaluations.

USF Annual Service and Merit Event
Manage the Universitys annual University Service/Merit recognition event for faculty and staff. Create and manage the annual deliverable plan and communications for the ceremony. Oversee all vendor contracts, supply orders, expense tracking and Concur payments (Catering, Events Management, Service Lapel Pins, Photography, OMC, Copy Mill, In Memoriam video).
Collaborating with HRIS and the ITS programmer, and using specially-designed system reporting, confirm/verify the appropriate staff and Faculty service honorees, retirees and deaths (In Memoriam).
Manage the staff award selection committee/nominator interviews, selection of presenters, presenter scripts, purses, preparation of the Service/Merit event program and certificates for all service honorees, merit recipients and retirees. Manage all service honoree invitations, RSVPs and attendance lists, and HR staff volunteer assignments, so that the ceremony runs smoothly.
Other
Research and resolve sensitive and confidential issues; support the Employment team in its responses to customers, with a focus on delivering excellent customer service.
Other duties as assigned.

Minimum Requirements:

Bachelors Degree in a related field. Masters Degree in Human Resources, Organization Development or related field is preferred.
3-5 years of progressively responsible experience working with adult learners in the training/facilitation arena, preferably in a higher education setting.
2-3 years of experience administering online training or learning management systems.
2-3 years of experience in Human Resources is highly preferred.
2 years of major event planning or project management experience.

Additional Knowledge, Skills, and Abilities:

Excellent interpersonal skills; the ability to communicate effectively and persuasively presenting data and explaining technical concepts in clear, understandable language to all levels.
Organization and time management skills with flexibility to balance/achieve multiple priorities.
Quantitative analysis/mathematical aptitude; strong detail orientation is required. Strong commitment to data integrity and accuracy.
Demonstrated technology skills; ability to work on MAC or PC; able to quickly learn how to administer/maintain online systems and new software programs (e.g., PowerPoint, Excel, Word, Banner, Workday, myUSF, myLearning, etc.). Adept at troubleshooting technical issues independently and with outside vendors.
Superior customer focus with strong ability to professionally represent HR within and outside of USF.
Ability to develop and maintain strong partnerships across the university.
Critical-thinking; proactive initiative and the ability to identify and evaluate problems, and devise timely and effective solutions.
Superior event planning skills. Demonstrated ability to effectively plan, manage and implement major projects.
Strong skills in designing and creating interactive educational presentations through PowerPoint and other mediums (involving embedding videos, pictures, animation, etc.)
Ability to work independently and collaborate effectively as strong team member.
Ability to exercise discretion and maintain confidentiality.
Understanding of and commitment to USFs Mission, Vision, Values, and strategic priorities and goals.

Work Environment/Physical Requirements:
Dynamic, fast-paced general office environment, with questions coming from across the University.
Regular travel is not expected; however, occasional travel to seminars, conferences, etc. may be necessary.
Ability to transport training materials/equipment that may weigh up to 20 pounds, to set up and close various in-person professional development classes/workshops and other HR-sponsored events.
