Position Summary:
Position Summary

The Payroll Coordinator is responsible for inputting, reconciling, and reviewing payroll data and employment information. This role also involves providing excellent customer service to our employees through phone, email, and in-person communication. This is a full-time position located at the District Office of Seattle Colleges in the Capitol Hill neighborhood. Duties include a variety of financial and clerical assignments such as report reconciliations, interpretation and application of a variety of regulations and procedures in the payroll and human resource function. The Payroll Coordinator also assists and educates individual employees and departments on procedures in order to ensure procedural compliance and accuracy.

Essential Functions

  • Input payroll and employment data and perform routine audits to ensure accuracy and compliance with institutional, state and federal requirements while maintaining the integrity of the HR management system. Interpret, FLSA, payroll, benefits, accounting and other -related policies and procedures.
  • Run uploads from the time entry system to the HR management system. Reconcile all discrepancies to ensure accuracy and compliance.
  • Respond to phone and in person inquiries regarding employee services; receive and refer visitors.
  • Reconcile payroll data to ensure accuracy and compliance.
  • Notify employees of union requirements and deductions
  • Review procedures and make recommendations to improve service and accuracy and assist in implementation of new policies and procedures.
  • Assist employees completing forms while educating them on the process and policies.
  • Complete verification of employment for all employee types.
  • Using monthly reporting tools, track hours for health and retirement eligibility for hourly employees.
  • Compile reports on topics such as L&I, OSHA, employee benefits, and employee payroll history.

Required Education, Experience & Abilities

  • One year of experience as a Fiscal Tech I or equivalent; nine quarter hours or six semester hours of college-level course work in accounting principles may substitute for six months of required experience.
  • Intermediate computer skills in a variety of applications such as Word, Excel, and Human Resources Information Systems.
  • Knowledge of accounting principles and procedures.
  • Strong math skills.
  • Ability to read, understand and follow verbal and written instructions.
  • Ability to provide service to employees and departments via communication and listening skills.

Preferred Qualifications

  • Knowledgeable in payment practices in a college or university setting.
  • Demonstrated ability working with automated HR and Payroll Systems for a medium to large organization.
