Position Description:

PURPOSE:

Under general supervision of the Dean College of Health Sciences and Human Services and the daily work direction of the Department Chair, the Outreach, Recruitment, and Admissions Coordinator performs moderately complex professional student services work in support of the department's educational programs. The incumbent will be responsible for the full range of student recruitment and community outreach tasks and will coordinate the social work and graduate admissions process.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
  • Advises potential applicants regarding the application process for all of the department's educational programs, the completeness and strength of application materials, requirements for degree completion in face-to-face information sessions and face-to-face meetings or telephone meetings. Provides support and assistance to prospective and incoming students. Manages effective and fast recruitment processes both internally and externally.
  • Reviews social work and graduate application files to determine initial program admissions eligibility. Prepares and monitors completeness of application files. Collaborates with program faculty, University Admissions, and community partners to review admissions policy and evaluate student applications. Updates applicants on the status of their applications. Monitors status of conditional admit students and revising status as provisions are met. Creates e-folders for faculty to review the admissions materials in Google Drive.
  • In coordination with the Chair and program faculty, monitors and tracks student information, and program progress from application to their graduation and degree conferral while maintaining confidentiality as outlined in the Department of Education's Family Educational Rights and Privacy Act.
  • Develops and prepares departmental and program marketing materials; such as presentations, brochures, flyers, etc. Accurately maintains: detailed databases and program website, and informational sheets that include resources to meet all necessary admission criteria. Collaborates with University Communications and other departments in the creation of publicity materials and marketing plans.
  • Develops recruitment and outreach plans in collaboration with the department chair and program faculty. Maintains a prospect list and prepares monthly reports reflecting recruitment efforts including vital statistical information required by the Department Chair. Evaluates prospective student needs and authorizes services; utilizes territory reports to follow up with prospective students within the tri-county area, as well as statewide.
  • Coordinates and facilitates outreach activities that will showcase the department's academic programs and encourage a diverse, broad base of interested individuals to pursue professional education as well as update alumni as to college and department activities (e.g. newsletter, etc.). Develops and facilitates informational sessions (including financial aid information) in local communities, professional conferences, and public or nonprofit agencies. Participates in staff career fairs providing career educational information to attendees and county employees.
  • Represents the department at statewide conferences for recruitment purposes, promotes the department's programs in the 4-year colleges and community colleges within a 120-mile radius with an emphasis on the local tri-county area.

Other Functions:
  • Establishes and maintains an atmosphere of excellent internal and external customer service within the program, campus community, and the local community and on the national level.
  • Collaborates with other departmental staff as needed.
  • Performs other job-related duties and special projects as assigned.


Knowledge, Skills and Abilities:
Working knowledge of: the principles of individual and group behavior; procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.

Ability to: interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multiaged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office. Possession of these knowledge and abilities typically is demonstrated through the experience requirements below.


Minimum Qualifications:
Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A masters degree in a job related field may be substituted for one year of the professional experience.

Preferred Qualifications:
Prior academic advising or student services experience in higher education; demonstrated success in developing recruitment and outreach plans and achieving desired results. Experience working with a diverse and multicultural population (esp. Spanish). Strong time management, presentation, facilitation, communication and interpersonal skills. Technical fluency with Microsoft Office Suite especially Excel; G Suite (Gmail, Docs, Drive, and Calendar); Oracle-PeopleSoft/ Common Management System or equivalent information systems; intranet drives; and internet browsers.

  • Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the Universitys liability coverage.
  • Requires occasional evenings and/or weekend work, as needed.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. Requires travel between campus offices and off-campus locations.
