Job Description:
This position is responsible for supporting day-to-day operations related to one or more academic programs and projects requiring judgment, discretion, and confidentiality in an often fast-paced work environment. This position may perform general administrative duties but is often the first point of contact for students, which requires a willingness to assist, a knowledge of university policies and procedures, and the ability to help with a variety of academic transactions.

Qualifications:
Associates degree or equivalent combination of education and experience plus a minimum of 3 years administrative experience preferably in an academic setting.

Job Specific Qualifications:
  • Excellent oral and written communications skills, interpersonal and organizational skills, with strong attention to detail is needed.
  • Ability to prioritize multiple projects with similar deadlines required.
  • Knowledge of University organization, policies, and procedures preferred.
  • Microsoft Office suite and PeopleSoft skills required; knowledge of BlackBoard, database management, and web content maintenance preferred.


Responsibilities:
  • Support day-to-day operations related to functioning of one or more academic programs and projects requiring judgment, discretion, and confidentiality in an often fast-paced work environment. There is extensive contact with faculty and students. Frequent collaboration with staff within the School as well as with various offices around SUs campus is required.
  • Provide accurate direction and/or proper referrals to students seeking guidance and support or to complete academic transactions.
  • Respond to email inquiries in a timely manner.
  • Supports special events such as guest speaker visits, ceremonies, receptions, orientations, and symposiums. Tasks might include arranging details relating to travel, scheduling, itineraries, catering, publicity, publications, and related matters.
  • Routine office work. Request office supplies, PPE, Coordinate with fiscal staff in the Business Office to facilitate timely reimbursements for speakers, students and faculty.
  • Manage internal grant solicitations and facilitate the reimbursement process according to university policies and guidelines. Facilitating the reimbursement process for faculty and guest speaker expenses. Prepare reimbursements for student travel on department travel grants.
  • Query and enter data into the Universitys enterprise systems (such as PeopleSoft) to extract various reports and support academic procedures and planning. Process paper forms when necessary.
  • Manage paper and electronic records according to the Universitys Record Retention policy and in compliance with Privacy Laws, such as FERPA. Coordinate records storage, archival and destruction of assigned records.
  • Organize shared directories.
  • Provide assistance to School of Education student organizations, including membership application materials, room reservations, booking accommodations, and publicity.
  • Other duties as assigned.
