Work Schedule: Monday through Friday, 8:00 am - 5:00 pm, occasional evening and weekend hours.

Overview:
Under the general direction of the Associate Vice President for Finance & Administrative Services, the Director of Support Services performs managerial and supervisory duties in the operation of printing/duplicating, mailing, property management, shipping and receiving services. The incumbent will oversee an annual budget of about $2M and employs approximately 15 FTEs for the units under purview.

Typical Activities

Typical duties may include, but are not limited to the following:

The Director of Support Services leads, directs, and participates in efforts for service and delivery optimization, improved quality, enhanced innovation, and development of metrics/measurable goals for units under oversight. The Director of Support Services develops departmental goals, standards, and objectives and ensures that service level objectives are achieved and customer expectations are met or exceeded.
Prepares reports, bids and purchase orders. Researches product costs and availability for purchase. Acquires outside printing for various projects as needed. Checks on maintenance and operation of equipment. Prepares a budget and exercises vigilance in controlling labor, supply and production costs. Oversee records and job cost estimates. Coordinates and oversees the maintenance, and operation of a University-wide copier/printer system. Works with procurement to negotiate vendor and customer contracts. Ensures proper disposition of surplus property in compliance with the system-wide policies and campus standards. Planning and execution of routine and special services.

Works closely with the division and college analysts as well as with a broad range of faculty on property audits, printing needs, document archival and other related matters. Develops policies, interprets existing policies, state and federal laws, ensures compliance and represents the campus at the system-wide forums. In addition, other duties as assigned.

Minimum Qualifications

To perform this job successfully, an individual must be able to perform each essential function. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education:
  • Bachelor's degree from an accredited four(4) years higher education institution or an equivalent.
Experience:
  • Minimum five (5) years of progressive experience in related areas.
  • Minimum three (3) years of supervisory experience.
  • Demonstrated management, leadership, and customer service experience requiring a high level of diplomacy and professionalism working in higher education or governmental agencies.
Abilities/Knowledge:
  • Ability to understand and define internal and external stakeholder requirements.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University.
  • Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
  • Ability to interpret, communicate and apply policies and procedures.
  • Ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Working knowledge of or ability to quickly learn University infrastructure, policies, and procedures.
  • Proven knowledge of industry standards, policies, equipment, and appropriate regulations pertaining to University printing operation as well as mail services.
  • Ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.

  • Familiar with the PeopleSoft modules for relevant functions.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
