Job Description:
Syracuse University is seeking a dynamic Associate Registrar to oversee and manage the College of Law (COL) Office of the Registrar. Working closely with and reporting to the University Registrar, the Associate Registrar is the official authorized keeper of COL student records. This pivotal position provides overall leadership and management of the COL Registrar's Office which facilitates all aspects of student registration, recordkeeping, examinations, and degree audits, and ensures compliance with all relevant state and federal laws and regulations and reporting to relevant institutional stakeholders and state bars. The Associate Registrar will need to be a self-starter with high attention to detail and excellent communication skills. The Associate Registrar works closely with students, faculty, and staff at the College of Law, but also collaborates with other administrators in central Syracuse University offices.

Qualifications:
  • Bachelors Degree and 7-10 years of experience in a Registrars Office required.
  • Earned masters degree or significant post-baccalaureate work toward a graduate degree in Higher Education Administration or Information Management preferred.


Job Specific Qualifications:
  • Strong interpersonal, leadership, communication, and organizational skills as well as proven ability to manage staff effectively, work collaboratively with other areas in the College of Law and the University, possess strong analytical, problem solving, and customer service skills, ability to assess processes, evaluate problems, and propose and implement solutions/improvements.
  • Significant experience working with senior level staff/administration, preferably in a law school setting; writing/analyzing/and enforcing academic policies; working with data to develop reports, analyze trends, and present to senior administration; and engaging with students regarding academic plans and certification of degrees.
  • Functional knowledge of PeopleSoft student information system is preferred. Prior experience with Examsoft/Examplify is highly desired. Demonstrated proficiency with Microsoft Word, Excel, Access, and Outlook, PeopleSoft, Examplify.


Responsibilities:
  • Manages day to day activities of College of Law Registrars Office using independent judgement and discretion, including staff mentoring, training, and direct supervisory responsibility; all short- and long-range planning and management; oversight of all enrollments, character and fitness, and Bar exam certifications. Certifies all JD, LLM, and SJD degrees and Certificates of Advanced Study. Processes and distributes all class ranks, Deans List designations, and graduation honors after Fall and Spring semesters. Builds and maintains collaborative working relationships with various University departments (e.g. Bursar, University College, Information Technology, Schools/Colleges/Departments where joint degree programs are housed).
  • Manages all activities related to midterm and final exam administration. Development of all exam schedules, management of exam production schedule, exam proctors, professional staff exam administrators, and all back-end processing to allow for exams to be distributed to faculty for grading. Creates/maintains internal database to be used in exam administration and grade submission processes. Collaborates with the College of Law IT department regarding exam issues. Troubleshoots and resolves Examsoft/Examplify issues and works closely with Assistant Registrar to ensure the software is working.
  • Collaborates with University Registrar staff to implement COL needs related to registration, joint degrees, degree certification, grade changes, course, time, and room assignments, and transcripts. Serves on College of Law and University committees as requested. Responsible for advocating COL needs and ensuring that they are incorporated into all University-wide software/program initiatives. Works extensively with Assistant Dean of International Programs to enroll LLM and visiting foreign exchange students and complete all required supporting documentation for enrollment and degree verification. Serves as point of contact for all COL offices regarding registration/course issues, office policies, assists offices with troubleshooting and resolving complex issues impacting the COL and the University.
  • Creates, publishes, and makes updates to College of Law Academic Calendar. In collaboration with College of Law staff, develops all academic schedules for Fall, Spring, and Summer terms. Assigns course times and classroom scheduling for all classes held in the College of Law. Works with third party software vendor on use of course scheduling software. Creates all midterm and final exam schedules and posts to the COL web site. Manages course registration for Fall, Spring, and Summer terms. Assists with updates to College of Law information in University Graduate Catalog. Maintains all courses and course descriptions in University system (PeopleSoft) and on COL web site. Makes necessary revisions to course and exam schedules and posts on COL website.
  • Assists with producing data and reports for the annual ABA, Princeton Review, etc. surveys, and provides data for various COL office (i.e., Career Services, Admissions) reports. Works with Office of the Dean to produce teaching evaluations; collaborates with University Office of Institutional Research on reporting needs and data clarification; supports all College of Law accreditation efforts by providing and interpreting data and interpreting and analyzing policies. Helps to ensure that all data and information posted to College of Law website is in compliance with ABA Standard 509 timelines and reporting formats. Assists with production of data for Commencement and Convocation programs. Collaborates with COL staff to execute all queries to extract data from Registrar systems. Troubleshoots and resolves all data issues related to imports that feed data to the system.
