Job Summary

Simmons University is seeking several Assistant Directors of Admission ("Assistant Director") and/or Admission Counselors who are responsible for various levels of educating and counseling the public about graduate degree offerings, and provides programmatic and recruitment support to prospective students at recruitment activities and events. Subject to experience level, job responsibilities may include management of communications plans for prospective students, including the development and implementation of electronic campaign plans, the identification of outreach opportunities in academic and professional settings, the organization of recruitment events including information sessions and application review. These roles will attend recruitment events to promote program options and increase program visibility. They will also provide some data extraction and statistical reports related to admissions. Additional duties include assisting in the oversight of Slate CRM, support/management of changes to admission webpages, assistance/management of the Alumni and current students Ambassador Programs, collections of financial documentation for international students, coordination of I-20 paperwork with the Center for Global Education, and review of applications for admission.

Essential Responsibilities
  • Oversee communications with prospective students, including informal interviews, in partnership with Admission Director;
  • Create and maintain admission applications;
  • Educate and counsel prospective students on the various graduate programs offered and the admission application process;
  • Enter application information, scan and upload documents, and create admissions files for committee review;
  • Manage the decision letter process: process decisions in Slate CRM, create and release decision letters;
  • Communicate with admitted and newly deposited students in an effort to positively affect yield rates;
  • Create monthly enrollment reports and data reports as needed;
  • Design and implement electronic conversion activities to move students through the stages of the admissions process;
  • Work with Director to develop communication plans for inquiries, applicants and deposited students;
  • Maintain communication in event templates (invitations, confirmation, reminder, post-attendee, etc.);
  • Collaborate with the academic programs/faculty to assist prospective students with the admission prerequisite review process. This involves providing students with information about prerequisite courses, delivering course syllabi to designated program faculty members for program review, ensuring prospective students receive timely updates on the status of their prerequisite courses, and creating overall prerequisite course approval process;
  • Serve as point person for international applicants: collect and submit appropriate financial documentation; process I-20 requests; serve as liaison to international student advisors to ensure registration requirements are met, and communicate new international student information to Student Life at the beginning of each semester;
  • Serve as point of contact for non-degree, pre-matriculated, and post-master's applicants;
  • Organize class visits for prospective students;
  • Attend graduate school fairs, professional association events career-oriented forums, and perform admissions presentations;
  • Travel domestically for recruitment and participation in graduate school fairs and individual informational meetings;
  • Attend and participate in the organization of admissions annual retreat(s), staff meetings, Enrollment Management meetings, monthly information sessions, and admission yield events
  • Coordinate and implement alumni projects in support of yield initiates;
  • Support departmental operations as needed (i.e. processing mail, front desk help, mailings, etc.).
  • Work with marketing to create and implement new email templates, and evaluate campaign success;
  • Enhance social media presence for graduate admission marketing in collaboration with Simmons University Marketing and Web Office;
  • Serve as point person for maintaining admission web pages, updating application information, monthly event listings and provide input on all admission publications;
  • Oversee development and maintenance of Alumni Admission and Student Ambassador Programs. Responsibilities include creation of recruitment activities for alumni to participate in, identifying students and alumni for assistance in recruitment activities, monitor list of students and alumni program participants, create and maintain training manual for alumni and student ambassadors;
  • Manage/monitor/support the Radius/Colleague and CAS systems for the prospect and applicant pools;
  • Oversee hiring, training, and supervision of student workers and graduate assistants;
  • Monitor and report on web analytics to determine the impact on recruitment activities;
  • Implement and maintain of Slate campaigns and communication plans for prospects, applicants, and incoming students;


Qualifications

Counselor
  • Bachelor's degree or equivalent work experience required;
  • Minimum one or more years of relevant work experience, preferably in admissions or enrollment management;
  • Comfort with online webinar technology (i.e. Zoom, Adobe Connect, Webex, GoToMeeting, Skype;
  • Strong time management and problem solving skills, including ability to adapt in new and rapidly changing situations;
  • Experience with a CRM, preferably Slate, is a plus but not required;
  • Excellent customer service and interpersonal skills;
  • Proficiency with Microsoft Office and presentation software.


Assistant Director
  • Bachelor's degree or equivalent work experience required; Master's degree preferred;
  • Minimum three years of professional work experience in a professional environment focused on customer or student service required, preferably in admission or enrollment management
  • Experience with a CRM, preferably Slate;
  • Comfort with online webinar technology (i.e. Zoom, Adobe Connect, Webex, GoToMeeting, Skype;
  • Public speaking experience preferred;
  • Strong time management and problem solving skills, including ability to adapt in new and rapidly changing situations;
  • Demonstrated project oversight and database experience (such as Intelliworks, Banner, and PeopleSoft) internet and social media skills;
  • Excellent customer service and interpersonal skills;
  • Proficiency with Microsoft Office and presentation software;
  • Valid Driver's License required.

Counselor and Assistant Director positions may require travel, and are also eligible for partial remote work. Admission Counselor positions are Grade S04 and Assistant Director are S06.
