The newly formed Wellness Office located in the Medical School is seeking an Administrative Manager. The Administrative Manager is the administrative leader, working with the Faculty Director and other institutional leaders to develop and execute upon the strategy for the Wellness Office across all of Michigan Medicine. The Administrative Manager will represent the needs of the office throughout Michigan Medicine and campus, and collaborate to ensure strategy and operational plans align with the overall vision of Michigan Medicine. In partnership with the Faculty Director and organizational stakeholders, this position will help promote, expand, and manage wellness initiatives across Michigan Medicine, building stronger coalitions, and enhancing impact and service to faculty, staff, and learners.

The Administrative Manager will report to the Faculty Director, with additional administrative accountability to the Executive Director of Administration & Chief Operating Officer for the Medical School.

Responsibilities*
OPERATIONAL ACCOUNTABILITY

STRATEGY

Partners with the faculty leadership to establish a unifying vision and strategy for the Wellness Office that is in alignment with Michigan Medicine strategy. Develops, evaluates and assesses strategic initiatives to meet the objectives of the Wellness Office and clearly articulates goals to assess progress and results.

  • Communication - Articulates the mission, vision, and values of the Wellness Office to all stakeholders.

  • Planning - Partners with the Wellness Office leadership to develop a strategic plan that aligns with Michigan Medicine mission, vision, values and overall strategic initiatives, and engages stakeholders in the process.

  • Execution - Implements a strategic plan, aligning resources appropriately, measuring progress, and adjusting.

  • Programming - Develops programs aligned with the strategic vision for the Wellness Office and continually assesses the value alignment with the Wellness Office goals.

  • Assessment - Continually evaluates strategic efforts by creating longitudinal metrics for initiatives to evaluate impact and return-on-investment.

  • Diversity, Equity and Inclusion (DEI) - Actively engages and supports Michigan Medicine and University strategy in this campus-wide strategic initiative.

  • Industry/National Trends - Seeks out information and benchmarks affecting industry and leverages this learning to make well-informed business decisions.

COMMUNICATIONS/MARKETING

Develops a communications and marketing strategy to support the strategic goals of the Wellness Office by assessing constituent needs, building brand, reaching target audiences, and consistently evaluating the effectiveness of all efforts.

  • Communications - Communicates to appropriate stakeholders, including Michigan Medicine faculty, staff, and learners, to reach the right audience at the right time. Ensures internal stakeholders are kept informed of organizational initiatives that impacts the work. Engages external stakeholders in discussions as is appropriate.

  • Marketing/Public Relations - Oversees the external representation of the Wellness Office through marketing and public relations activities. Works with the Department of Communications to ensure adherence to all Michigan Medicine strategies and policies to effectively and responsibly market the Wellness Office and programs, and responds to external inquiries to build the Michigan Medicine brand.

  • Branding - Establishes a professional brand strategy for the Wellness Office that meets the needs of the varied constituents and provides consistency for communications and supports the Michigan Medicine brand. Supports others engaged with the Wellness Office to promote the brand.

OPERATIONS

Responsible for managing the day-to-day Wellness Office operations including but not limited to financial performance, human resources, compliance, and procurement. Work with partners outside the Wellness Office in order to meet Wellness Office needs in the areas of communications, development (fundraising), and IT operations.

  • Human Resources - Oversees personnel management for the Wellness Office including hiring, staffing plans/transitions, onboarding, definition of duties, organizational structure, performance evaluations, salary increase and reclassifications, mandatory compliance for all staff and resolution of complaints/grievances. Incorporates DEI into all human resource activities.

  • Employee Engagement - Manages employee satisfaction and performance though ongoing communication, performance evaluation and focus on staff talent development.

  • Finance - Responsible for optimizing financial performance for the Wellness Office. Oversees budget preparation and adherence of the Medical School and UMHS revenue and expense budgets, ensures Wellness Office project grants are maintained within budget limitations through accurate and timely reconciliation, oversees preparation of all financial and administrative reports, monitors faculty economics and financial performance, prepares financial projections based on revenue and expense forecasts and implements corrective measures to enhance financial margin at all levels.

  • Internal Controls - Establishes and oversees adherence to internal control policies and procedures.

  • Development - Partners with the development office in philanthropic efforts, monitors gift fund utilization is in compliance Procurement - Follows university guidelines regarding the procurement of materials and engages with procurement partners when required.

  • IT Operations - Partners with HITS and ITS to improve efficiency of IT resources to meet Wellness Office needs.

OTHER DUTIES AS ASSIGNED

Collaborates on Michigan Medicine priorities by providing individual input or serving on various committees as required.

  • Committee Involvement - Represents the Wellness Office on various committees and subcommittees to bring perspective and input to improve overall processes and deliverables across Michigan Medicine.

  • Engage in medical school and health system priority projects as pertains to wellness.

  • Will be a member of the Medical School Administrative (MSA) leadership, attending the standing Operations and Administration Committee (OAC) meeting monthly.

Required Qualifications*

  • MBA, MPH, or other related Master's degree, or equivalent combination of education and experience.

  • A minimum of 6-8 years of higher-level management experience with proven business acumen, preferably in a biomedical research or academic healthcare setting.

  • Demonstrated ability to present and gain acceptance of ideas and proposals.

  • A track record of collaboration and accomplishment advancing initiatives with multiple stakeholders.

  • Proven ability to embrace and foster change at individual, organizational, and cultural levels/

  • Strong business acumen with knowledge of finance, ideally in an academic setting.

  • Demonstrated strength in verbal and written communication.

  • Competency in organizational navigation and ability to deal effectively and persuasively with individuals of varying levels of institutional authority in a complex and dynamic organization.

  • Demonstrated poise, tact, diplomacy, and integrity.

Desired Qualifications*

  • Has applied managerial experience to wellness initiatives

  • Experience working in an academic medical center.
