Job Description:
The Administrative Specialist will provide administrative support to the Center for Disability Resources (CDR). The position will serve as initial point of contact for the center, greeting students, answering phones, and monitoring and answering emails. The position will assist with scheduling and maintaining calendars; providing general administrative support to staff, generate reports, track academic support referrals and conduct outreach, make travel arrangements; complete financial transactions; distribute/track tutoring vouchers, order supplies; and provide support for events and programming, as well as enter student information into the student disability portal, upload documents, and perform accounting for student organizations as needed.

Additionally, the Administrative Specialist will be responsible for scanning and indexing archival records, providing support to auxiliary support services during peak times. Providing first level information to students regarding CDR resources, including how to register, make appointments, sign up for exams etc. and general questions regarding CDR programming and events.

Qualifications:
  • Associate or Bachelors degree preferred, may substitute 3-5 years of relevant professional administrative support experience.
  • Experience working in higher education strongly preferred.


Job Specific Qualifications:
  • Strong skills in the full Microsoft suite are required.
  • Ability to use and learn web and software tools and systems necessary.
  • Successful candidate must have excellent interpersonal and organizational skills, demonstrate initiative, and be able to multi-task and work closely and collaboratively with all levels of staff and faculty.


Responsibilities:
  • Provide a range of administrative support to the staff of disability resources. Assist senior leaders within CDR with administrative tasks for the center. Serve as the first point of contact for students, faculty, staff, and others by phone, in-person, and email; must provide high quality customer service. Office duties may include answering and managing phone calls; greeting and assisting visitors; creating, completing, and managing documents including appropriate filing; ordering supplies.
  • Provide direct administrative support for Academic Support and the OnTrack program staff. Duties include: checking students in, schedule appointments, manage coaches and learning strategist calendars, distribute/track tutor voucher codes, track referrals and conduct student outreach as necessary.
  • Assist leadership with editing and revising office correspondence and processes including external facing marketing materials. Assist leadership with archival records management. Meeting agreed upon targets and deadlines, utilize software to manage and track purchasing of office supplies and inventory. Complete all necessary financial paperwork related to office operations including deposit slips, requisitions, interdepartmental forms, purchase orders, staff travel reservations and reimbursements, and credit card reconciliations. Work with senior staff as necessary to ensure timely submission of reconciliations and accounting paperwork.
  • Assist as necessary to coordinate center activities and events including faculty/staff recognition event, disability pride activities, pre-orientation activities, open house etc. Additionally, will reserve meeting and event spaces, schedule meetings or special events, ensure completion of all necessary approvals and forms, order catering or other supplies, and assist with associated financial forms.
  • Provide backup to other administrative support professionals in CDR. Will be cross-trained on web-based and software systems and email listservs.
