Business Manager

Job Summary

Working within the division of Student Affairs in the Campus Recreation Services department, the Business Manager manages administrative and business operations for Campus Recreation Services.

Campus Recreation Services is located at the George S. Eccles Student Life Center, which connects student Life with academic life to create an engaged campus community. Amenities include a 50-meter pool, indoor and outdoor leisure pools, large indoor hot tub/spa, 320-yard indoor running track, bouldering and 4-story climbing wall, 5 sport courts, racquetball courts, 4 group fitness studios, and a combative room. Additional amenities include Shake Smart, and Athletic Training. Campus Recreation Services operates and schedules three outdoor turf fields, an outdoor track, and four sand volleyball courts.

Responsibilities
  • Bachelor's degree in Business, Finance, or a related field, or equivalency.
  • Three years' experience that includes specific involvement in maintaining complex financial records, developing and monitoring departmental budgets and preparing related reports; and demonstrated organizational, human relation and effective communication skills.
  • Experience in managing monthly reports, including budget, purchase card, and payroll; exceptional guest service skills.
  • Familiarity with the Microsoft Office suite of programs is a must, particularly a knowledge of Excel and how to manage complex interconnected spreadsheets.
  • Applicants need to demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.





Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Office Administrator, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Office Administrator, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.


Preferences
The following information is intended to be representative of the work performed by incumbents in this position and is not all-inclusive.   • Manage the administrative functions of day-to-day operations and procedures of Campus Recreation Services
  • Maintain all budget accounts, purchasing, billing, payroll, vendor and tenant contracts, PCI compliance, and journal entries.
  • Prepare all financial reports, including monthly/yearly budget statements, sales tax report, payroll, purchase cards; participation reports, and required documents.
  • Oversee and support Campus Recreation scholarship administration.
  • Monitor budgets and expenditures to ensure limitations are not exceeded.
  • Review and understand all University and departmental policies and procedures, federal regulations, and contractual obligations. Coordinate, manage, and monitor all required implementation procedures.
  • Maintenance of membership sales, roster maintenance, and budget.
  • Coordinate details such as purchasing and personnel activities, document control, account coding for financial transactions, and manage the maintenance of departmental records.
  • Support department events with planning, coordinating the events and ensuring events meet appropriate financial procedures.
  • Oversight and management of purchasing and billing.
  • Manage travel for department, including registration, accommodations, flights, and reimbursements.
  • Annual financial reporting.



Problem Solving
There exists authority in decision-making process regarding procedural decisions in record maintenance, application of appropriate accounting classifications, and journal entries. Problems encountered in the position may involve communication and implementation of policies with a variety of people; interpretation and application of university and departmental policies, federal and state regulations affecting business operations; reconciling varied and complex financial data; and assuring the orderly movement of information into the university's automated systems.
