The Center for Asian Studies at CU Boulder invites applications for a JLPT USA Team Assistant! The American Association of Teachers of Japanese (AATJ), headquartered at CU Boulder, is the exclusive administrator of the Japanese Language Proficiency Test (JLPT) in the United States. The JLPT USA Team Assistant provides administrative and operational support to the Director of JLPT USA and contributes to the effective planning and execution of the JLPT in the United States.

Who We Are


The Center for Asian Studies was established in 1999 to advance knowledge of Asia through undergraduate and graduate education, faculty research, and outreach programs for the broader community. The Center is committed to managing and expanding the interdisciplinary major in Asian Studies by providing student fellowships, scholarships, and study opportunities, investing in faculty research and professional development, providing support for building Asia-related resources on the CU Boulder campus, by developing academic exchanges with Asian-based colleagues and students, and by engaging the local community with Asia-related programs and events. The Center also serves to promote the University's Flagship 2030 Initiative to Build a Global Crossroads' by internationalizing education on campus and promoting Asia in the context of global studies. Finally, the Center serves as a link and community-building resource for faculty and students across the University. CAS coordinates events, supports research and teaching, and acts as a key resource for students and scholars with an interest in Asian Studies. The Center's area of focus encompasses all of Asia, from China and Japan to the countries of the Middle East.


What Your Key Responsibilities Will Be


Team Support & Operational Coordination:
  • Provide day-to-day administrative and operational support to the Director of JLPT USA and the broader JLPT team, including scheduling meetings, maintaining shared calendars, tracking action items, and preparing agendas and meeting notes.
  • Serve as a point of contact for routine communications with candidates, test site coordinators, proctors, vendors, and other partners, ensuring timely, accurate, and professional responses that reflect AATJ standards; referring complex or sensitive matters to the Director.
  • Assist with internal coordination across AATJ staff and external partners to keep recurring JLPT workflows on schedule and aligned with established timelines.

Registration & Data Management Support:
  • Support the candidate registration cycle by monitoring the registration platform, processing applications, verifying payments and accommodations requests, and resolving routine candidate inquiries via email.
  • Maintain accurate candidate, site, and personnel records in JLPT databases and spreadsheets; perform data entry, validation, and clean-up to ensure data integrity throughout the testing cycle.
  • Generate standard and ad hoc reports (e.g., registration counts by site and level, demographic summaries, post-test statistics) to support decision-making by the Director and AATJ leadership.

Stakeholder & Test Site Support:
  • Support ongoing communication with U.S. test sites by drafting and distributing announcements, reminders, and informational updates regarding policies, procedures, due dates, and shipment of testing materials under the Director's guidance.
  • Assist in the preparation, formatting, and distribution of training materials, proctor manuals, site coordinator handbooks, and operational checklists, ensuring documents are current, consistent, and accessible.
  • Help coordinate orientation sessions, webinars, and Q&A communications for site coordinators and proctors, including logistics, registration, and follow-up materials.
  • Track site-level compliance with JLPT guidelines and flag issues or inconsistencies to the Director for resolution.

Test Day & Peak Period Operational Support:
  • Provide operational support during peak JLPT administration periods (registration windows, pre-test preparation, test weekends, and post-test processing), including extended or non-standard hours as needed.
  • Coordinate the preparation, packing, shipping, tracking, and return of secure test materials to and from U.S. test sites, ensuring strict adherence to chain-of-custody and confidentiality protocols.
  • Participate in test-day support activities, including remote help-desk coverage, real-time troubleshooting with site coordinators, and on-site assistance at designated test locations when required (may include travel in the first weekend of December.)
  • Support post-test logistics, including verification of returned materials, incident reporting, candidate inquiry follow-up, and preparation of summary documentation for the Director.
  • Post-administration expense reimbursement support, including processing reimbursements, following up with test sites on submission of financial reports, and responding to inquiries regarding proctor compensation.

General Administrative & Program Support:
  • Provide general administrative assistance across JLPT operations, including procurement support, expense tracking, vendor coordination, file management, and maintenance of standard operating procedures.
  • Support the development and updating of internal documentation, templates, and knowledge-base resources to streamline recurring tasks.
  • Assume additional responsibilities as the role evolves, including expanded involvement in cross-site coordination, project tracking, and operational planning to support the continued growth of the JLPT in the United States.

Other Duties:
  • Perform other duties as assigned in support of AATJ's mission and the effective administration of the JLPT.


What You Should Know

  • Part-time (50%) position with flexible hours.
    • This can be subject to change based on the business needs of the unit, align with A&S college policy, and supervisor's approval.
    • Employee may need to be on campus up to 5 days a week during the initial training period.
  • Seasonal workload fluctuations, with peak activity typically from August through December.
  • Occasional travel.

The annual salary for this part-time (50%) position is $26,000.

What We Require
