You'll help oversee facilities scheduling, support student employee hiring, and contribute to marketing and outreach, gaining broad experience across administrative functions in higher education. Summary of Responsibilities
- Provide advanced and confidential administrative support, including preparing correspondence, meeting minutes, and reports; managing faculty activity databases; and maintaining knowledge of university policies and procedures.
- Coordinate the preparation and submission of departmental reports, publications, newsletters, and other documentation.
- Manage departmental financial activities, including payroll processing, timecards, hiring paperwork, PAFs, ESAFs, EPAFs, requisitions, travel requests, purchase orders, catering orders, index tracking, and budget reconciliation.
- Serve as the first point of contact for students, faculty, and visitors by answering phones, assisting walk-ins, and providing accurate information about university and departmental services.
- Maintain and monitor inventory of office supplies and equipment; manage ordering, receiving, billing, and distribution of materials.
- Support department leadership by facilitating communication, acting as a liaison with the Dean's Office, assisting with problem resolution, and performing other duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's or an associate's degree and two years of experience related to the summary of duties; OR any combination of education and/or experience totaling four years.
Preferred Qualifications:
Graduation from an accredited institution with a bachelor's degree plus one year of experience related to the Summary of Duties; OR any combination of education and/or experience totaling five years.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of office operations, event planning, marketing communications, and university procedures & policies.
- Proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint) and other business software.
- Strong written and verbal communication skills, including grammar, proofreading, and professional correspondence.
- Skilled in preparing and interpreting reports, charts, and budgets.
- Excellent organizational, time management, and multitasking abilities with strong attention to detail.
- Effective interpersonal, customer service, and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Comfortable working independently and collaboratively in a fast-paced environment.
- Willingness to support occasional evening/weekend events and adapt to shifting priorities.
