Primary Duties and Responsibilities:
The position will report to the Dean and is responsible for coordinating the division's general business operational functionality, requests, and reports with the College administrative departments including Finance, Payroll, Purchasing, Facilities, Information Technology and Human Resources.

  • Manages the operational functions for the division and acts as a liaison with College business operations.
  • Assists in the development of the Annual Plan, Budget, and capital budget requests.
  • Monitors the budget and divisional expenditures, including purchases, travel reimbursements and professional development requests, and produce quarterly and monthly reports.
  • Counsels and guides faculty in terms of spending, allocating, and determining needs and managing budgets assigned to them.
  • Processes special payments requests including payment for faculty assignments.
  • May assist in RFP development, purchasing contract negotiations, and the preparation of the financial sections of the proposals.
  • Monitors divisional grant activities and expenditures.
  • Works collaboratively with the grant accountant, grant team members, and Coordinator Academic Assessment and Reporting.
  • Supports preparation of quarterly Perkins Grant reports.
  • Acts as the liaison with Human Resources to ensure timely, efficient paperwork submission and personnel processing.
  • This includes processing employment related paperwork for administrators, classified staff and Faculty, initiating hiring requisitions, and coordination of the performance evaluation process for all administrative and faculty staff.
  • Systems expert and master user for Concur, Colleague, Etrieve, and other systems.
  • Trains other divisional staff on these systems.
  • Develops and runs a variety of standard and ad hoc reports for the Dean or Vice President's office.
  • Reviews faculty load assignment percentages and verifies the accuracy of all scheduling data.
  • Assists with updating the Astra Course preferences listing.
  • Leads the implementation of College-wide policies and procedure changes within the Division as well as the creation, maintenance and distribution of divisional policies, procedures.
  • Participates in monthly operational meetings as divisional representative.
  • Extract data and create reports utilizing Colleague and Business Objects.
  • Partner with the Division's other administrative support staff to provide seamless support to the Division.
  • May oversee student workers.
  • Other related duties as assigned.


  • Qualifications:

    • Education
      • Bachelor's degree in Business, Management, Accounting or a related field required.
      • Or Associate's degree in Business, Management, Accounting or a related field with equivalent years of experience from which comparable knowledge can be ascertained required.
    • Experience
      • Minimum 2 years operations or professional business experience, preferably in an academic setting required.
      • High degree of accuracy and attention to details required.
      • Good written and verbal communication skills required.
      • Ability to work autonomously and demonstrate initiative required.
      • Strong organizational skills and ability to work within a complex, evolving organization required.
      • Ability to maintain confidentiality required.
      • Proficient with MS Office suite including Excel and Outlook required.
      • Prior experience utilizing MyAccess student system Colleague and Business Objects/Advantage system preferred.
      • Experience working in Human Resources, finance or purchasing is a plus.


    Working Conditions:

  • Hiring Range:
    Starting pay begins at $45,127 based on experience.

    Competitive starting pay is dependent on education and experience.
