Associate Director of Fund Compliance Donor Relations

Job Summary

The Associate Director of Fund Compliance in University Advancement plays a critical role in supporting the effective use of philanthropic resources that drive the University's mission. This position helps steward the impact of more than 2,000 donor-established funds across education, research, healthcare, and community service.

As the lead for philanthropic fund operational execution and monitoring, the Associate Director ensures donor intent is honored and institutional accountability is upheld through fund auditing and reporting aligned with institutional policy, GAAP, IRS regulations, UPMIFA, and national standards for philanthropic fund management.

The Associate Director of Fund Compliance is a key member of the Donor Relations team and will work closely with the Gift Agreement & Compliance Officer and Senior Director of Stewardship to identify and appropriately escalate compliance matters. The position leads and supports core functions including fund auditing, gift agreement auditing, reporting, project coordination, and accurate data collection and management. The role is responsible for establishing effective processes and systems for fund reconciliation, tracking, analysis, and document management to ensure donor funds are managed and utilized appropriately.

This position reports to the Senior Director of Stewardship and may provide additional support to Donor Relations colleagues as needed.



Responsibilities
Essential Functions

  • Develops, oversees, and coordinates processes for audits and ongoing monitoring of donor fund use to ensure compliance with donor intent, University policies, and state and federal regulations.
  • Champions best practices, ensures access to timely and accurate information, and continuously improves fund-management policies and procedures to promote consistency and reduce institutional risk.
  • Conducts initial reviews of existing gift agreements and other documentation for potential compliance issues related to fund management, investment, and purpose implementation considering donor expectations, System Guidelines, and University policies.
  • Supports training and outreach to campus stakeholders to increase understanding of fund restrictions and compliance requirements.


Professional Knowledge & Benchmarking

  • Maintains current working knowledge of policies, procedures, systems, reporting standards, applicable laws and regulations, and industry trends.
  • Benchmarks aspirational and peer institutions and participates in relevant professional associations.
  • Protects donor intent and promotes the University's stewardship of philanthropic funds by providing strategic input for documentation, reporting, and process improvements through cross-team collaboration and workgroup participation.
Data Capture, Project Management, and Reporting

  • Accurately captures, enters, and compiles compliance- and donor-related data in the University's Advancement CRM.
  • Oversees project timelines, deliverables, and team collaboration using tools such as Microsoft Outlook, Teams, Box, and Asana. Projects may include principal-donor reporting plans, mass communications, and system or process enhancements.
Compliance Support & Customer Service

  • Serves as an expert resource in operational fund compliance of philanthropic funds and tracks issue resolution, providing excellent customer service by triaging, addressing, resolving, or escalating compliance or interpretation questions as appropriate.
  • Leads ongoing philanthropic fund compliance monitoring, including tracking and documenting compliance-related issues. Collaborates with the Gift Agreements & Compliance Officer, who provides legal interpretation and drafting authority, to ensure institutional adherence and coordinated compliance guidance.


Minimum Qualifications
Minimum Qualifications

  • Bachelor's degree or equivalent experience (one year of education is equivalent to two years of experience).
  • 5-8 years of professional experience.
    Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description. Demonstrated effective communication skills are also required.





Preferences
Preferred Qualifications (Optional)

  • Experience conducting audits, policy reviews, or internal compliance investigations.
  • Experience using digital tools such as Asana, Salesforce, and/or Airtable.
  • Experience working in higher education, nonprofit development, or a complex, highly regulated environment.
  • Experience in advancement roles such as fundraising, alumni relations, donor stewardship, fund management, fund compliance, or related areas that promote institutional growth and engagement.
