Provide general office, clerical, and onsite support for the Residence Services operations. Assist with the central key inventory for residential system; conduct key-board inventories at the residence halls. Field a high volume of phone calls and email inquiries from students, parents, and other University departments and provide excellent customer service. Assist in mitigating student room issues out in the field. This position is also responsible for managing vending services, this is the distribution of MicroFridges and Safes during the academic year and summer. Must have ability to lift and carry 50 lbs.
  • Resolve student and parent complaints with furniture, appliances, and facilities by visiting rooms across campuses especially during move-in/out and transition periods. Coordinate with Facilities Management to resolve any issues with room condition. Monitor and process work orders received through the Maintenance module in StarRez. Organize furniture request, and appliance repairs forms for warehouse staff, and outside vendors. Maintain accurate records and logs of same.
  • Oversee and conduct damage billing with student staff. At the end of each semester visit empty rooms to inspect overall condition of rooms/suites/apartments. Ensure that appropriate documentation and photographs are collected so that if students appeal, documentation can be provided. Communicate with students and parents about damage and key/lock charges posted to students' accounts. Post charges to student accounts for lost keys, lock changes, and dorm damages. Assist in the Room Condition Report process management and use the data when processing damage billing at the end of each semester.
  • Monitor move-in and move-out progress in the residences. Monitor accurate placement and retrieval of moving carts, assist students with issues while moving in/out, provide support for the Associate Director with following up on student and parent issues. Monitor and respond to emails in the Housing Residence Services central mailbox. Ensure notes are updated in StarRez.
  • Process lock change requests, prioritize orders, and coordinate with residence staff on all matters related to issuance and replacement of room keys, missing keys, and lock changes. Conduct key-board inventories and turnovers in the residence hall offices and troubleshoot key issues.
  • Assist in managing all Vending services operations. This includes the distribution of MicroFridges/Safes, TVs during the academic year and summer, including managing laundry facilities in residential buildings, and UPS storage program. This will also include being responsible for managing the vending service account and responding to emails, calls, website, and budget.
  • Use FacilityOS software to log and maintain inventory. Coordinate barcoding of furniture and appliances in the residences.

    Required Skills

    High School Diploma/GED, B.A./B.S. preferred, and one to three years of experience.
