Job Summary

Administrative Assistant
Performs a variety of administrative support duties for the Administration of the Department of Dermatology to ensure operations run smoothly and efficiently. Will work for several department directors.

Responsibilities
Administrative Assistant
Create and maintain files, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information. Assist in planning department activities, manage meeting calendars, and make travel arrangements. Track expenses, monitor and order supplies, and schedule maintenance repairs. Remain knowledgeable of group / department policies.

1. Provides administrative support for directors in the Dermatology administrative office.
2. Create and maintain digital files and resources, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information.
3. Manage calendars and schedules for administrators.
4. Coordinate meetings and conferences, including preparing meeting agendas, taking minutes, and tracking projects and action items from meetings.
5. Help coordinate new faculty and APC onboarding and orientation; also assist with pre-hire/onboarding steps for staff.
6. Collects, organizes and analyzes data for reports, including patient survey data, compliance reports, etc.
7. Assist with purchasing and making travel arrangements.
8. REDCap superuser for the department.
9. Remain knowledgeable of department policies.
10. May make contacts of a sensitive, complex, and confidential nature.
11. Other duties as assigned.

Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Administrative Assistants, III: Requires 3+ years of related experience.
Administrative Assistants, IV: Requires 5+ years of related experience.
