POSITION SUMMARY
Under the general direction of the Associate Director for Facilities and Planning (ADFP) and Assistant Director for Housing Facilities (ADHF) of Student Housing and Residential Life (SHRL), the Housing Facilities Coordinator (HFC) primary role is to manage day to day reactive maintenance within the residential campus at CSUMB. The HFC serves as a liaison between CSUMB facilities-related departments, Student Housing and Residential Life (SHRL) staff, residents living in the communities, the University Corporation at Monterey Bay (Corporation), GreyStar Residential Company (GreyStar) and 3rd party contractors to ensure that facilities issues are resolved and fully completed in an efficient and timely manner. The person in this position must foster effective communication among all parties involved in, and the parties affected by maintenance and emergency repair issues, preventative maintenance planning, occupancy and use of the facilities, and any construction or capital projects.

Examples of Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:
General Project and Facilities Coordination:

  • Collaborate closely with CSUMB Facilities departments, the Associate Director of Facilities and Planning, and the Assistant Director for Housing Facilities to oversee all aspects of residential facility management, including general maintenance, improvements, and capital projects.
  • Assist in planning and implementing major renovations, repairs, and improvements for residential facilities.
  • Research and manage the installation of new furniture, fixtures, equipment (FF&E), and appliances, ensuring compliance with campus standards and in coordination with Facilities Management and Assistant Director for Housing Facilities.
  • Execute communication plans to minimize construction and renovation impacts on residents, ensuring clear and timely communication with students, staff, and other stakeholders.
  • Support student relocation efforts during facilities-related emergencies or scheduled maintenance events, coordinating efforts with SHRL staff, Residential Life, and other campus partners.
  • Review and assess building conditions regularly in collaboration with the Associate Director for Facilities and Planning and the Assistant Director for Housing Facilities, ensuring compliance with SHRL standards, State Fire Marshal regulations, and Campus inspection requirements.
  • Work closely with the Associate Director for Facilities and Planning, Assistant Director for Housing Facilities, the CSUMB Capital Planning department, and external contractors to ensure successful project execution and coordination with the daily operational needs of the housing program.

Work Order Management and Turns Support:
  • Oversee the submission, tracking, and follow-up of work orders, ensuring timely completion and customer satisfaction in coordination with staff, vendors, and contractors.
  • Provide quality assurance reviews of completed work orders to ensure they meet appropriate standards and follow CSUMB policies and procedures.
  • Serve as the primary point of contact for vendors and contractors related to maintenance, construction, and summer/fall move-ins, ensuring adherence to deadlines.
  • Utilize software systems like StarRez, Limble, and others to manage and track work orders, facilities use, asset maintenance, and conditions information, providing training and support to staff on system usage.
  • Ensure the proper management of janitorial and maintenance turns in preparation for annual and seasonal move-ins, including coordination with Housing Operations and other campus departments.

Access Control and Key Management:
  • Oversee the key management processes, including distribution, monitoring, and supporting the campus lock shop in addressing key and lock-related issues.
  • Collaborate with Housing Operations in key readiness and distribution for summer conferences, staff, and residents, ensuring timely execution during check-in/check-out periods.
  • Ensure the inventory and reconciliation of all access control items, including keys, locks, and access cards, and work with the Operations and Business/Finance staff for billing related to lost keys.

Staff Supervision and Development:
  • Supervise and provide leadership to 6-10 student assistants supporting housing facilities services, including recruitment, training, scheduling, performance management, and coaching.
  • Ensure that student staff complete their tasks efficiently, such as walkthroughs, work order follow-up, inventory management, and other duties as assigned.
  • Provide guidance and mentorship to student assistants, helping them develop leadership, communication, and problem-solving skills, ensuring they are equipped to handle various operational needs.
  • Provide training on the work-order system to professional and paraprofessional staff.
Emergency and Special Projects:
  • Assist in the development and implementation of emergency response protocols related to facilities issues, ensuring that student housing remains safe and operational during crises or major repairs.
  • Participate in special projects outside the normal scope of facilities and housing operations, including major renovations, contracted work, and capital planning initiatives as directed by senior leadership.
Other Responsibilities:
  • Promote and maintain an atmosphere of excellent customer service in daily interactions with students, SHRL staff, campus partners, contractors, and vendors.
  • Collect and analyze data related to work orders, facilities concern, and resident satisfaction, and report findings to inform future planning and improvements.
  • Assist in the development and implementation of departmental assessments, including surveys and feedback mechanisms for students and staff.
  • Work with the SHRL leadership team to develop strategic goals and objectives for facilities management and housing operations, ensuring that projects align with both short-term needs and long-term plans for the residential community.

OTHER FUNCTIONS

  • Strong communication and customer service skills. Experience with tracking and monitoring software. Excellent organizational skills. Proficient in the use of personal computers including word processing, spreadsheets and database software


Qualifications

MINIMUM QUALIFICATIONS
Education and Experience:

  • Associate degree or equivalent.
  • Experience within facilities may be substituted for education on a year-for-year basis.

DESIRABLE QUALIFICATIONS
  • Demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence.
  • Experience managing front desk operations in a student housing setting highly desirable; demonstrated leadership experience in student housing
  • Experience working with a multicultural population; familiarity performing community service learning; and demonstrated technical literacy.
  • Fluent in multiple languages, particularly Spanish

The hourly hiring range for this position is $25 - $27. Classification: Grade 4, Staff. This is a non-exempt position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
