Primary Purpose of Organization Unit:
English, Theatre, and World Languages is the largest academic department on UNCP's campus. Department members are engaged in teaching, advising, and coordinating student internships, in addition to pursuing scholarly research, professional publication, and professional service activities.

Primary Purpose of Position:
The Administrative Support Associate (ASA) for the Department of English, Theatre, and World Languages assists the department chair and other departmental members by managing daily office operations. Basic duties include, but are not limited to, the following: communicating effectively with faculty, staff, students, and the public by telephone, email, and in person; receiving and distributing incoming mail; assisting faculty, staff, and students with questions and/or problems; monitoring supplies, equipment, and service contracts; ordering office supplies; creating and processing requisitions; maintaining records of expenditures and monitoring accounts and balances for budget categories; processing budget documents and managing departmental P-card; entering course schedules and completing student overrides; working with campus resources to provide support for faculty for classroom and office technology; preparing service contracts, additional employment agreements, student assignment agreements, etc.; and coordinating paperwork for new employees (including I-9 verification). The ASA should maintain and foster an efficient and professional workplace environment.

The successful candidate should have at least three years of experience as an Administrative Assistant, should have excellent communication skills, written as well as verbal. The position requires the ability to work under pressure. Incumbent should have knowledge of budget procedures and be able to control inventory within the Department. Incumbent must be able to work with people who have very different kinds of personalities.

General knowledge of office practices, techniques, and technology sufficient to perform at this level of work; ability to practice effective communication techniques, both orally and in writing; ability to establish and maintain effective working relationships with staff and other members of the organization; ability to interpret the policies, procedures, rules, and regulations pertaining to the program.

Operations of office equipment including fax, multi-line phone and knowledge of videoconferencing/ teleconferencing equipment to provide video and audio streaming teleconferences; typing; knowledge of UNC Banner system: Banner Budget, Banner Student, Banner Requisition / Navigation and BraveCart system; Travel Policies and Procedures; FERPA; I-9/E-Verification; operate an extensive array of office equipment including personal computer (required software packages include Microsoft Office (Word, Excel, PowerPoint, Publisher), Page-maker, internet browsers for research, ability to create brochures and posters for publication.

  • assist with travel requests and reimbursement requests for faculty members and for departmental job candidates
  • maintain lists of departmental equipment and keys
  • maintain office equipment including copy machine and departmental color printer
  • ensure that classrooms contain proper components and equipment
  • maintain various files including those for syllabi, class schedules, personnel, absentee forms, and facilities usage
  • facilitate transition for new faculty (telephone, computer, basic supplies) and supervise faculty moves to other offices
  • report building problems to Physical Plant
  • lock and unlock classrooms as appropriate Education and Experience: The successful applicant will, at minimum, have a high school diploma and demonstrated competencies gained through three years of office assistant experience or an equivalent combination of education and experience.
