Job Description:

Enrollment Services at Madison College is seeking an Admissions Coordinator to join the team. This position is responsible for monitoring waitlists, optimizing admissions business processes, and resolving issues to ensure timely and consistent waitlist management. Success in this role requires sound judgment, accurate recordkeeping, and collaboration across departments to maintain equitable and student-centered practices.

The Admissions Coordinator plays a vital role in advancing institutional goals by supporting equitable access, accurate enrollment, and student completion. This position helps ensure that students experience a clear, transparent, and supportive admissions pathway as they pursue their academic goals.

This is a full time, 52-week position with standard business hours of Monday through Friday, 8:00am - 4:30pm, with flexibility to adjust working hours between core hours of 7:00am - 6:00pm with supervisor approval. Work is primarily performed on-site at the Truax Campus, with the potential for a hybrid work schedule (up to two days remote per week) after successful completion of a three-month training period. Remote work options are subject to change per Madison College policy.

Accountabilities:
  • Monitors and manages student progression on program waiting lists by analyzing historical trends and real-time enrollment data to forecast wait times, inform planning, and ensure timely, equitable student movement amid changing capacities and readiness levels.
  • Collaborate with Advisors, Program Directors, and onboarding staff to align waiting list processes with diverse program structures and evolving needs, adapting workflows and communications to maintain consistency and fairness across student populations.
  • Coordinates with the Communications Team to deliver timely, accurate, and program-specific messaging related to waiting list status and next steps, managing student inquiries and ensuring questions are addressed or appropriately referred.
  • Oversee the accuracy and integrity of student records across enterprise systems (SIS, imaging, CRM) by identifying and resolving data issues and ensuring alignment with institutional reporting and compliance standards.
  • Develops and maintains comprehensive business process documentation for admissions operations, ensuring procedures reflect current practices, regulatory requirements, and institutional goals.
  • Designs and delivers training programs for Enrollment Services and other college staff to promote knowledge transfer, consistency, and operational readiness in complex admissions processes.
  • Contributes to an inclusive, equitable and supportive environment where everyone at the institution feels valued, respected and empowered to reach their full potential.
  • Adheres to college policies, directives and work rules while maintaining a commitment to the college's mission, vision and values.
  • Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.


Knowledge, Skills & Abilities
  • Knowledge of admissions policies, eligibility criteria and enrollment practices.
  • Knowledge of student information systems, data standards and educational information privacy regulations.
  • Ability to demonstrate organizational skills, precision, and keen attention to detail.
  • Ability to reconcile data derived from different sources and critically analyze complex departmental operations and policies
  • Skill in documenting business processes and creating user-friendly reference materials.
  • Ability to manage multiple processes, meet deadlines and maintain accuracy in a fast-paced environment.
  • Skill in engaging positively with all populations and communities, contributing to a safe and inclusive learning and work environment.
  • Skill in effectively and respectfully communicating with others.


Minimum Requirements:
  • Associate degree or equivalent additional work experience
  • 1-3 years of relevant working experience
