Position Description
As part of Seattle University's commitment to becoming one of the most innovative and progressive Jesuit and Catholic universities in the world, the University is undertaking several high-impact, campus-wide initiatives. These include the implementation of Workday and the unification of the academic calendar across all Colleges. Please note that this position is a limited term appointment and, while currently scheduled to end on December 15, 2027 may conclude earlier if the needs of the university require.
The Office of the Registrar plays a central role in these efforts, leading the development and implementation of systems, policies, and processes that support each initiative. This work spans IT, compliance, operations, change management, and innovation-all aimed at enhancing the student experience through efficient and student-centered practices.
We are seeking a Project Manager for Institutional Initiatives to join the Office of the Registrar. This role will support the coordination and execution of major projects, ensuring they remain aligned with the day-to-day academic operations of the University.
Reporting to the University Registrar, the Project Manager will collaborate closely with office leadership and cross-functional teams across IT, the Colleges, and the Office of the Provost. Key responsibilities include managing timelines, tracking tasks, and aligning priorities across multiple initiatives.

Essential Job Duties:
Project Coordination (75%)
- Support the successful execution of projects by managing timelines, aligning teams, and optimizing workflows. Key responsibilities include:
- Plan and monitor project timelines, milestones, and deliverables to ensure on-time completion.
- Maintain and update task lists, ensuring team alignment on priorities and deadlines.
- Document and distribute meeting notes, action items, and status updates to keep stakeholders informed.
- Streamline workflows by improving documentation practices and identifying process inefficiencies.
- Coordinate efforts across internal teams and external partners to maintain project momentum
Identify and mitigate project risks by proactively proposing and implementing solutions.
Office Coordination and Communications (25%)
- Manages calendars and scheduling for the University Registrar and leadership team, effectively prioritizing conflicting demands.
- Coordinates meetings and events, including logistics, materials, agendas, and documentation.
- Plans and facilitates office-wide and sub-office meetings, ensuring seamless execution and collaboration.
- Oversees office budget tracking and reporting; manages project codes, contracts, invoices, travel forms, purchase orders, and reimbursements. Processes expense reports and vendor payments; reconciles business credit card statements; approves hourly staff timecards and leave requests.
- Delivers high-quality customer service by responding to inquiries with professionalism and discretion. Maintains confidentiality of sensitive information and supports policy development and implementation with sound judgment and integrity.

Qualifications
- Three or more years of experience in project coordination or operations support role.
- Highly organized with strong attention to detail.
- Excellent written and verbal communication skills.
- Able to manage multiple projects and shifting deadlines.
- Self-starter who works well independently and communicates clearly in a hybrid work setting.
Preferred Qualifications
- Bachelor's Degree in a demonstrably related field.
- Experience working in higher education or similar field.
- Advanced skills in MS 365 tools.

Compensation at a Glance
Salary Range: $67,000 - $75,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
