Position Description

This position is designated to support the Workday planning and implementation team by assisting with operational responsibilities, allowing project team members to focus on project-related activities. Please note that this position is tied to the duration of the Workday Project. Continued employment is contingent upon the ongoing needs of the project, which is currently anticipated to conclude on or around June 30, 2027.

Reporting to the University Registrar, the Associate Registrar for the Cornish College of the Arts provides administrative and technology oversight, and coordination of all activities related to the student academic records, student information system and related third party applications, degree conferrals, registration, advising, course and classroom scheduling, NSC reporting, grading, verification and certifications, transcripts, compliance, graduation audits, and related areas. Other responsibilities include record-keeping of all college classes and curriculum prerequisites, determining students' graduation eligibility, and assisting with commencement activities.

The Associate Registrar works with the Office of the University Registrar staff to interpret and apply Seattle University policies and procedures for their responsible use; maintains up-to-date program requirements in the Catalog and manages the efficient use and application of technology in Jenzabar (J1 Web). Coordinates various third-party applications including PowerFAIDS and works with the Associate Registrar, Systems and IT Services to develop recommendations for implementing applications to provide streamlined services for students, faculty and staff. Manages all aspects of system updates and maintenance of J1 Web and PowerFAIDS; maintains data integrations between J1 and other integrated applications.

In collaboration with Admissions, the Associate Registrar supports the processes of admission in Slate, the articulation of transfer credits and the integration of student information in J1 Web. They provide graduation audits, enrollment and degree verification, production of official transcripts, and assist in the production of the annual Commencement event.

Cultivates and maintains productive relationships with faculty and staff from various departments on campus, collaborating on issues concerning curriculum, college policy and other Registrar related responsibilities

Team Management and Oversight:
Supervises the Assistant Registrar for the Cornish College of the Arts.

Curriculum Development and Catalog Maintenance Consulting:
Coordinates with the Office of the University Registrar regarding annual curriculum revision practices and deadlines impacting catalog production. Maintains degree requirements, degree auditing, records and petition processing and graduation processing.

Course Scheduling, Registration and Reporting:
Oversees the production and maintenance of the semester Schedule of Classes. Assists in the preparation and process of advising and registration for students in the Cornish Arts programs. Provides assistance with custom reporting and coding for the College.

Programming and Technology Engagement:
Provides all degree audit programming in J1 Web to meet and address the curricular needs of the College for all undergraduate degrees, majors, concentrations, minors and certificates. In collaboration with IT Services and the Associate Registrar, Systems, manages all aspects of system updates and maintenance of J1 Web for the College. Maintains dataflow between J1 Web and PowerFAIDS; manages and updates integrations between J1 and other software and platforms within the College.

Cornish College Transfer Credit and Articulation Degree Practice Leadership:
Provides guidance to Admissions, advisors and academic department leaders on credit transfer and policy practice and standards. Collaborates with Admissions Evaluators and schools/colleges to build and maintain articulation tables in J1 Web/TES as well maintain up to date evaluations of standardized exam related institutional credit (AP, IB, CLEP, etc.)

Works in concert with the Office of the University Registrar and IT Services and College faculty and staff to deliver a seamless student experience.

Qualifications

  • Bachelor's degree in a relevant field and four years' experience in Registrar's Office, curriculum, registration and academic policy focus or an equivalent combination of education and experience sufficient to perform the essential duties of the job.
  • Demonstrable experience as an administrator in Jenzabar's J1 SIS is essential for success.

The ideal applicant will possess supervisory experience, excellent organizational skills, superior oral and written communications skills, familiarity with college student record systems, and the ability to use Microsoft Excel or SQL to analyze data.

Compensation at a Glance

Salary Range: $74,400 - $83,600

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
