Position Description
Position Summary:
The Counseling Department Academic Services Coordinator provides essential student and faculty support for the following graduate programs within the College of Education: On-Ground Clinical Mental Health Counseling (CMHC), On-Ground School Counseling (SC), Online CMHC, and Online SC. This position will work closely with the Program Directors and the Counseling Department Chair to support and enhance the overall experience and success of our prospective students, admitted students, continuing students, and faculty. This position will play an important role in the advancement of an inclusive, welcoming community for our students and faculty.
Essential Job Functions:
Counseling Student and Admissions Support (35%)
- Serve as a point of contact for current and prospective on-ground students.
- Support and advise on-ground continuing and admitted students on registration timeline, course registration process, course scheduling, general degree requirements, Canvas, and University's resources.
- Track and monitor registration and leave statuses of on-ground continuing and admitted students.
- Host virtual drop-in office hours for all Counseling students.
- Collaborate with the Online Student Success Coordinators to support online students as needed.
- Provide Skillsetter registration support to all Counseling students.
- Support the admission process with the following duties for the On-Ground CMHC and SC programs:
- Field and route general admission questions from on-ground prospective and admitted students as needed.
- Coordinate with Graduate Admissions representative to manage application flow in Slate.
- Track admissions outside of Slate to monitor decisions, awards, and admitted student statuses.
- Collaborate with Graduate Admissions representative and Slate management team to submit Slate project requests for programs as needed.
- Facilitate new student onboarding for on-ground programs.
- Support Faculty/Student Meet and Greet event.
Counseling Faculty and Academic Support (35%)
- Support Program Directors, Counseling Department Chair, and Assistant Dean for Graduate Student Success with communications to prospective students, admitted students, continuing students, and alums.
- Manage the assignments of faculty advisors for all Counseling students.
- Provide quarterly communications to faculty on roster checks and grade submission deadlines.
- Track and monitor missing grades leading up to the grade submission deadline and provide updates to Program Directors and Counseling Department Chair.
- Assist Program Directors with onboarding new full-time and adjunct faculty members.
- Provide new counseling faculty members with textbooks/desk copies, office keys, print access, technology equipment, and access to SU systems.
- Create and maintain faculty research project board to facilitate connection between faculty and students.
- Assign academic support tasks to graduate assistant.
Tevera Software Support (15%)
- Provide Tevera registration support to all Counseling students and faculty with virtual drop-in office hours.
- Serve as a point of contact between the students, faculty, and the Tevera support staff.
- Create, maintain, and modify Tevera forms for courses.
- Provide end user training to students, faculty, and staff in group and individual sessions.
- Support the Counseling Placement Program Manager with diagnosing any Tevera issues regarding placement.
Counselor Preparation Comprehensive Exam Support (15%)
- Support the Counselor Preparation Comprehensive Exam (CPCE) process by orientating all Counseling students on requirements and maintaining a CPCE Canvas module.
- Provide guidance to students on exam registration at every step of the process.
- Operate a library of available study materials for student exam preparation.
- Collect, calculate, analyze, and report scores to program directors and University Registrar.
- Discuss and report patterns and results in exam performance with program faculty.
- Attend quarterly meetings with CCE and serve as a point of contact between students, CCE, and Pearson.
Qualifications
- Bachelor's degree plus two or more years of progressively responsible office experience in an academic services environment OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Excellent organizational, attention to detail, and interpersonal communication skills, both verbal and written.
- Demonstrated success in a fast-paced environment, working collaboratively, and communicating effectively to promote teamwork, collegiality, and wellness.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
- Demonstrated ability to manage multiple tasks with competing deadlines.
- Experience with Microsoft 365, including strong proficiency in Excel, SharePoint, Teams, and Outlook.
- Experience with data management systems.
Preferred Qualifications:
- Experience with academic advising.
- Experience with diverse student populations.
- Experience with Tevera, Skillsetter, Canvas, Slate, and Qualtrics.
- Flexibility and willingness to assume new tasks and special projects.

Compensation at a Glance
Salary Range: $55,000 - $65,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
