Position Description

Course Scheduling and Enrollment Support (50%)

  • Support scheduling and enrollment process of all courses in the College of Science and Engineering (CSE), working with department chairs, program directors, senior administrative assistants, and the Office of the Registrar.
  • Maintain master schedule of courses for CSE.
  • Provide training for new staff and faculty on scheduling software, processes, and forms.
  • Provide scheduling coverage for departments in absence of a department senior administrative assistant.
  • Conduct an annual lab fee audit with departments, budget office and student financial services.

Support for Curricular Initiatives (30%)
  • Support the college in transition to semesters and other curricular initiatives.
  • Maintain list of deadlines and deliverables related to curricular initiatives and assist in meeting those deadlines.
  • Facilitate communication between departments inside and outside CSE related to curricular initiatives.
  • Management of CSE policies and procedures.

Scholarship Coordination (5%)
  • Establish and maintain online scholarship forms.
  • Coordinate all communications and award notifications for limited scholarships.
  • Receive and organize applications for limited scholarships
  • Coordinate with student financial services to verify applicant financial availability.

Facilities (5%)

  • Maintain inventory of spaces occupied by CSE.
  • Work with departments and facilities to assign office space for faculty and staff.
  • Assist in prioritizing facility requests for CSE and serve as contact as needed.

Outreach (5%)

  • Support college outreach initiatives including mentoring and early arrival programs.

Other Duties as assigned (5%)

  • Work critical to the success of the unit will periodically arise and require additional tasks that are within the strengths of this position.


Qualifications

  • Bachelor's degree, minimum of two years relevant experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • A record of or a demonstrable capability for collaborative and successful working relationships with diverse stakeholders in an academic environment: Faculty, department chairs, program directors, and other academic and administrative staff.
  • Strong critical thinking skills. Proficiency in Microsoft products including Word, Excel, Teams. Attention to detail and ability to recognize discrepancies in information.

Compensation at a Glance

Annual Salary Range: $50,000 - $58,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
