Job Description Summary
DEFINITION
Under direction of the Executive Director of Institutional Advancement/Foundation, plan, coordinate and implement programs and events that promote and support Foundation and Institutional Advancement goals, lead alumni outreach, donor stewardship, volunteer activities, and perform other related duties as required.
DISTINGUISHING CHARACTERISTICS
The Foundation Programs Coordinator is distinguished from other classes by the requirement that incumbents perform duties involving relationship-building with Cuesta College's alumni, Foundation board members, community leaders, donors, the Superintendent/President's office, the Advancement/Foundation office, and faculty, staff and students. The position requires knowledge of Foundation Board policies, procedures and programs and District operational policies, regulations and procedures. Incumbents work as part of a team, exercise good judgment, serve in a lead capacity, maintain diplomacy, work with strict deadlines, possess keen attention to detail, work with minimum supervision, and work certain evening hours and weekends as required.
The incumbent in this position supports institutional effectiveness by facilitating advancement practices that encourage and engage internal and external support of Cuesta College.

Essential Functions & Qualifications
ESSENTIAL FUNCTIONS
- Develop and cultivate lasting and meaningful relationships for the District by implementing programs designed to engage alumni, ambassadors, donors, volunteers, and event attendees;
- Oversee the day-to-day operation of Foundation outreach programs including; alumni association activities and promotions, emeritus/retiree groups, student and foundation ambassadors, and, as assigned, new constituent activities, special events, and committees;
- Oversee the day-to-day operation of Foundation stewardship programs including: the district's naming opportunities, donor recognition and stewardship, donor recognition publications and events and, as assigned, new constituent activities, special events, and campaign committees;
- Assemble and compile data, including financial and biographical regarding Foundation programs to assure current records and maintaining the alumni and donor database;
- Coordinate Advancement/Foundation volunteer opportunities with public and college constituents;
- Plan and coordinate Advancement and Presidential events, workshops and meetings which includes the management of all details related to events (e.g. develop budget and monitor expenses, develop program and invitation, speaker(s) messages, and work with other departments);
- Plan, develop and maintain a calendar of Foundation-sponsored events, workshops and programs;
- Coordinate the Foundation's support of the Cuesta College Promise, acting as a liaison between the Financial Aid Office and Committee working on behalf of the donors;
- Develop and maintain endowment and scholarship lists as part of the scholarship program and regularly update the online scholarship database;
- Develop and maintain event mailing lists and a constituent tracking system (including donor history, event participation, and biographical information);
- Provide reports and information to the Executive Director of Institutional Advancement/Foundation and others as needed in a timely manner;
- Maintain the Foundation's web presence, including alumni online community and communications;
- Assist with the marketing of Foundation events and programs;
- Provide additional support to the Advancement/Foundation office as needed, including general office work and gift processing;
- Organize and develop and/or oversee the development of forms, documents and lists; and
- Perform other related duties as required.
QUALIFICATIONS

- Associate Degree
Experience:
Required
- Three years of increasingly responsible experience with demonstrated effectiveness in business management or event management/administration in non-profit or educational setting; demonstrated organizational skills; experience in working in a lead capacity.
Knowledge of:
- College and non-profit fundraising;
- Objectives of fundraising programs and college programs;
- Data gathering, analysis, and presentation;
- Problem analysis and solving methods;
- Use independent judgment, diplomacy, patience, persistence, and work under strict deadlines;
- Multimedia software techniques;
- Current technologies, personal computer, and associated office software such as word processing, spreadsheet, presentation, and/or database software;
- Correct usage of English, grammar, spelling, punctuation, and vocabulary; and
- District policies and procedures.
Ability to:
- Establish and maintain cooperative working relationships with those contacted in the performance of duties; and
- Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and of staff and students with physical and learning disabilities.
Physical ability to:
- Read and comprehend printed matter and text and data on computer monitors;
- Communicate intelligibly and effectively via speech, telephone, written correspondence, and/or email;
- Sit or stand for extended periods of time;
- Lift and/or carry 25 pounds; and
- Exert manual dexterity sufficient for keyboard and other office equipment operation.
License and Certificates (current within the last year or must be continuously current):

- Valid driver's license and eligible to obtain California driver's license upon hire.
Additional Information
Physical Requirements
Must be able to lift and carry up to 25 pounds occasionally, particularly during event setup and takedown.
Work Schedule
While the role typically follows standard business hours, occasional evening work may be required to support events.
