Utah Valley University's Community Mental Health Clinic is dedicated to serving students and the community while supporting the development of future mental health professionals. The Clinical Office Manager plays a vital role in ensuring the clinic runs smoothly and effectively by overseeing daily operations, coordinating client and intern scheduling, and managing administrative staff. This position supports compliance with HIPAA, OSHA, and state privacy regulations while maintaining policies, procedures, and clinic systems that promote efficiency and high-quality care.

By managing budgets, assisting with grant processes and audits, and supporting faculty, staff, and stakeholders, the Clinical Office Manager directly contributes to the clinic's growth, sustainability, and positive impact. Summary of Responsibilities


  • Manages administrative support staff, all work flow, client services, staff training, and staff conflict resolution. Initiates and oversees scheduling of interns and clients. Initiates and leads regularly held staff meetings, addresses and resolves low-level client, faculty and intern complaints, collects customer surveys and feedback, and develops ongoing processes to continually improve clinic office procedures for staff and interns.
  • Completes ePAF's, job postings and position descriptions, on the online system. Processes new employee paperwork, completes employee orientations, staff requests and office preparations. Responsible for staff performance management for direct reports. Maintains personnel files. Assists with coordinating positive community partnerships and professional contracting services to maintain optimal clinic services.
  • Assists Director with HIPAA and OSHA compliance: Provides implementation of policies and procedures. Maintains physical and environmental standards to comply with federal and state regulations. Secures knowledge of current and changing HIPAA and OSHA regulations.
  • Assists Director with budgets and financial transactions, completes purchasing requests according to university policies and procedures; compiles statistics and budget reports; monitors expenditures for compliance with all budgetary policies; interprets budget reports to recommend reallocation of funds for financial responsibility, handles questions regarding budget balances, proper expenditure of funds, travel expenses, budget transfers, etc.
  • Conducts regular internal audits and assists with external audits as necessary.
  • Maintains office space and coordinates with facilities for any repairs or updates as needed, order office supplies and equipment. Manages equipment service contracts. Coordinates with purchasing for furniture needs. Assists Director to create and distribute marketing materials, brochures, digital signage, and posters. Orders promotional materials. Participates in the promotion of Community Mental Health Clinic in the community and at select campus events.
  • Acts as liaison for the Director as necessary to Dean of the College of Humanities & Social Sciences, Clinic Advisory Board Chair, faculty, interns, and public regarding inquiries or complaints. Assists with projects, and performs other job related duties as assigned.


Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree plus two years of related experience, OR an equivalent combination of education and/or experience related to the Summary of Duties totaling at least six years.
