Job Summary
The Academic Coordinator is responsible for organizing and managing all continuing education. initiatives and events within the Department of Orthopaedics. This includes, but is not limited to, Grand Rounds, Core Curriculum, Quality Assurance sessions, Visiting Professorships, and alumni engagement events.
The ideal candidate will demonstrate exceptional organizational abilities, strong written and verbal communication skills, and the capacity to effectively prioritize and manage multiple projects simultaneously. They will ensure all program goals and objectives are met in accordance with established standards. The Academic Coordinator will also serve as a key liaison, communicating issues or updates to project managers and stakeholders, and proposing appropriate solutions when needed.
Responsibilities
Key Responsibilities:
Event Planning & Coordination
Collaborate with faculty directors, medical trainees, and alumni to manage academic calendars, schedule events, and resolve conflicts.
Coordinate speaker logistics, including scheduling, presentation materials, and travel arrangements.
Serve as the primary point of contact for guest speakers, visiting professors, and collaborating departments.
Event Execution & Logistics
Provide on-site support and coordination during all continuing education events.
Oversee all logistics, including catering, room reservations, technology setup, and parking accommodations.
Communications & Materials Management
Prepare and distribute calendars, event flyers, announcements, and other communication materials.
Ensure all presentation content is complete, organized, and ready in advance of each event.
Compliance & Documentation
Ensure adherence to Continuing Medical Education (CME) Office requirements.
Maintain accurate attendance records and prepare required documentation for accreditation.
Stakeholder & Alumni Engagement
Communicate updates, progress, and challenges to project managers and stakeholders, and recommend solutions when needed.
Maintain up-to-date alumni contact information and foster ongoing engagement with program graduates.

Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
