Expressive Arts & Music Therapy Mgr

Job Summary

Expressive Arts and Music Therapy Education, Research, and Training Manager. This position manages expressive arts and music therapy clinical services, including music therapy, Artists-in-Residents, and directing our national internship training program. The job includes management of the day-to-day operations of these teams of students and professionals, collaboration with research teams, training and supervising students and employees, financial management of the program budget, partnerships with foundation and donor support for funding, and program growth and development.

This position will be responsible for planning, organizing, directing operations and strategic planning of staffing, customer/patient services, research projects, teaching and training students and professions, collaborating with research teams, and financial management functions in areas including (but not limited to) non-pharmacological symptom management, administrative services, federal or state compliance, research operations, and development with University and Huntsman foundation grants and gifts. This position will support the University of Utah's goals and mission and act as a catalyst between departments, faculty, physicians, and staff to ensure continuity and quality of service.

Participates in preparing department budgets and in setting department goals. Ensures continuity and quality customer service between university departments and the community.

Essential Functions
  1. Leads expressive arts and music therapy, defining the scope, strategy, goals, and growth. Develops and implements customer service, staff management, and financial objectives for assigned departments consistent with the University's goals and objectives. Performs essential functions of licensed, credentialed, or certified professional areas.
  2. Financial management of budget goals, labor, and non-labor expenses. Estimates budgetary requirements and monitors purchases and inventory. Prioritizes purchases and spending decisions within a budget.
  3. Implements and administers new and existing department programs and services to internal and external customers. Evaluates program effectiveness. May implement logistic plans and procedures to ensure that the needs of internal University and external entities are met. Coordinates with other Wellness & Integrative Healthcare Center programs to create cohesive objectives and develop strategies to achieve them.
  4. Oversees department staff management, including recruitment, performance evaluations, and staff retention. Screens, interviews, hires, trains, supervises, and develops employees and student interns. Ensures high-quality internship programs. Provide oversight of retention, evaluation, and performance of hospital and clinic employees, national interns, research projects, and community-engaged activities. Actively engages staff with updates and news, as well as involving staff in decisions and work teams. Provides feedback and recognition when appropriate. Creates work schedules for providers and sets expectations for cross-coverage.
  5. Participates in developing and interpreting department policies to ensure compliance with the University's policies and regulatory requirements. May authorize exceptions to department policy and procedures related to assigned departments. Ensures compliance with Federal and state regulations.
  6. Establishes internal objectives and implements procedures to meet goals. Assists in setting department short-and long-term goals. Responsible for patient satisfaction scores within the scope of services. Responsible for upholding PROMISE standards of direct reports. Manages employee performance (staff evaluations and providing timely feedback to resolve conflicts). Maintains training materials, written standards and expectations, and protocols for each program and ensures regulatory compliance with the service area.
  7. Coordinates with on-site operations leaders at various locations where expressive arts and music therapists provide services to ensure proper access to space and equipment and knowledge of services available. Collaborates with the Volunteer Department to recruit, train, and supervise volunteers. Coordinates monthly meetings, sets program goals, creates project expectations, monitors progress, and maintains team motivation.
  8. Ensures customer satisfaction by analyzing customer complaints, concerns, and suggestions. Provides appropriate follow-through to ensure quality customer service. Manages quality improvement projects within service areas-authors communication materials (e.g., presentations, documents, proposals).
  9. Facilitates cooperative and collaborative relationships with the community and other institutions. Develops relationships and strategies with outpatient clinics and inpatient units. Promotes new and existing services.
  10. Serves as part of the department management team. Communicates and develops positive relationships with stakeholders, supervisors, potential funders, and directors to ensure services and projects align with their goals and needs. Develops or assists with research and grant applications related to Wellness & Integrative Health Center services. Leads team abstracts for conference presentations and poster sessions for national and international conferences. Creates regular content for social media, patient outreach and education, and communications. Initiates presentations, research, and program development. Facilitates tours for DNV, VIPs, guest visitors, the Huntsman Foundation, new employees, and students.

Problem-SolvingThe problems and solutions encountered by this position vary depending on the area and structure of the department. This position frequently addresses problematic situations and often acts as a mediator or a negotiator. The ability to perform the job's essential functions as outlined above is required, as well as demonstrated leadership skills in planning and directing employees and processes to effectively monitor and develop staff and students to ensure the smooth operation of services. One must demonstrate knowledge of life span growth and development principles and the ability to discuss the scientific basis and commonly used techniques for professional areas. Demonstrate an ability to recognize risk factors due to the effects of cancer and cancer treatments. Maintain and follow standard quality, safety, environmental, and infection control policies and procedures.

Comments The incumbent must be proficient in making daily operational decisions in the assigned area to ensure compliance with current regulations and guidelines.

Minimum Qualifications
Bachelor's degree in a related field plus two years of related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated human relations and effective communication skills also required.
