Job Summary
This position is a crucial part of the daily operations of the School of Music as we annually host over 300 events. Important responsibilities include close supervision of stage managers/building representatives; facilities coordination; communication; and contracts.
Responsibilities
- Oversee administrative matters regarding School of Music rental agreements and scheduling. This includes collaborating on scheduling both within the School of Music and the outside community, maintaining timely and professional communication with all stakeholders, negotiating terms of contract and/or service agreements, maintaining accurate information on rental agreements and specificities, remaining current on rental budgets, and working to establish additional and stronger relationships with outside rental organizations.
- Provide summary reports as needed for facilities and scheduling.
- Supervise stage managers and office assistant positions related to facilities and scheduling, including training needs and additional support. Hire, train, and oversee all aspects of stage manager and building representative work, including scheduling, event coverage, and professional development. Ensure that all events have adequate stage manager and building representative coverage and step in to cover any needs as they arise.
- Develop and implement department-specific policies and procedures regarding facilities.Maintain updated information on safety and equipment protocols.
- Serve as department representative in addressing issues and questions related to facilities. This will include representing the department on various committees.
- Stay abreast of legal or other related changes impacting facilities needs and make recommendations for improvement and compliance.
- Develop systems and maintain records to support and advance facilities, contract agreements, etc.

Minimum Qualifications
One year administrative/business experience or experience working with and organizing events, social schedules, conferences, etc., or equivalency; demonstrated human relations and communication skills; and a commitment to provide excellent customer service required. 45 wpm typing may be required in some departments. Accounting/bookkeeping experience preferred.
