Position Description
Seattle University School of Law is seeking an Externship & Clinical Program Legal Administrative Assistant to join our mission-driven, student-centered community.
The Legal and Administrative Assistant supports faculty and serves students by performing essential legal and administrative work the School of Law's Externship and Clinical Programs.
Externship Duties include, but are not limited to (30%):
- Facilitating communication and meetings between and among faculty (career and adjunct), students, and current and potential site supervisors;
- Drafting and transmitting administrative correspondence, agreements, and evaluations to and from externs and supervisors;
- Maintaining and updating the externship website and databases;
- Informing students about externship application procedures and prerequisites;
- Evaluating student application materials for eligibility and completeness;
- Designing forms and protocols for record keeping; and
- Assisting faculty in designing educational, training, and marketing materials and with course logistics.
- The Externship Program Assistant will also perform office tasks of a general or routine nature such as typing, photocopying work, maintaining and searching files, preparing handouts, preparing reports and collaborating with other School of Law staff for events.
Clinical Program Duties include, but are not limited to (70%):
- Receiving, scanning and filing case-related documents;
- Assisting with filing documents in court or with administrative agencies;
- Greeting clients and other visitors, answering telephones, gathering and distributing mail, scheduling and coordinating meetings, conferences, travel arrangements and other events and activities;
- Distributing information to participants in courses taught by Clinic faculty;
- Helping with room set up, transport boxes of supplies, etc.;
- Assisting students, other departments, and the public on routine matters regarding Clinic services and operations;
- Supporting faculty in research and other projects by preparing documents and obtaining necessary information; and
- Supporting the general legal work of the clinic law firm.
Qualifications
- Two or more years administrative office or legal assistant support OR an equivalent combination of education and experience sufficient to successfully perform the essential job functions.
- Demonstrated skill in document processing and spreadsheet preparation using Microsoft Word and Excel.
- Ability to maintain strict confidentiality.
- Excellent interpersonal communication/customer service skills, organizational abilities, and keen attention to detail and accuracy.
- Must have the ability to independently prioritize, perform multiple tasks concurrently, and consistently complete assignments by due dates and timelines.
- Experience using Microsoft Office tools including Word, Excell, PowerPoint etc., and proficiency with online research and use of other electronic tools and databases.
Preferred Qualifications
- The position requires excellent interpersonal and communication skills, as well as the ability to manage multiple short- and long-term projects.
- The applicant should have a sufficiently flexible schedule for assisting with some presentations and events that take place outside of normal business hours, but with ample notice.

Compensation at a Glance
Salary Range: $43,000 - $46,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
