Position Description
The Assistant Director of Facilities and Operations plays a critical role in delivering exceptional game-day experiences for student-athletes, fans, and partners. This position will be primarily responsible for the planning, execution, and support of home athletic events, while also assisting with key operational and administrative functions within the department. This position will report to Assistant Athletic Director for Facilities and Operations.
ESSENTIAL FUNCTIONS
Game Day Operations Management
- Lead and execute all aspects of game day operations for assigned sports, including women's soccer, baseball, and others as designated, as well as select championship events.
- Oversee setup and breakdown of venues, coordinate visiting teams and officials, manage emergency preparedness protocols, and serve as the primary point of contact for vendors and event staff.
Event Staffing & Supervision
- Recruit, train, schedule, and supervise interns, part-time staff, and volunteers involved in athletic operations.
- Ensure all personnel are prepared to uphold a safe, efficient, and positive event environment.
Facility Access & Operations
- Assist with the daily oversight and operational logistics of all Seattle U Athletics facilities, including select off-campus venues.
- Includes facility access control systems (cards, keys, lockers, etc.) to ensure security and appropriate usage.
Additional Event Support
- Provide operational support for third-party and community rentals hosted in athletic facilities.
- Coordinate venue-based corporate partner activation in collaboration with the Assistant Athletic Director for Development.
- Support the planning and execution of non-championship segment home competitions, including scheduling, logistics, and facility readiness.
Qualifications
Experience: 2 years of experience in athletic facilities management and/or operations required. Education/Licensing: Bachelor's degree required; Masters degree preferred.
REQUIRED SKILLS
- Demonstrated experience planning, organizing, and executing athletic or large-scale events in a collegiate, professional, or comparable setting.
- Excellent verbal and written communication skills; Able to effectively collaborate with coaches, officials, external vendors, sponsors, and campus partners, and event guests.
- Commitment to creating a positive and inclusive experience for student-athletes, fans, and external partners.
- Highly organized with strong attention to detail; capable of managing multiple events and tasks simultaneously throughout the year.
- Proven ability to lead and manage diverse teams of student workers, part-time staff, and volunteers under tight deadlines in high-pressure environments.
- Knowledge of all safety procedures and regulations as related and the ability to execute Emergency Action Plan.
- Ability to troubleshoot issues in real time and adapt quickly to changing circumstances or unexpected challenges on event days.
- Ability to conform to shifting priorities, demands, and timeline. Must be flexible to respond to project adjustments and alterations promptly and efficiently. Must be able to adapt to varying workloads and respond appropriately to stressful situations.
- Proficiency with Microsoft Office, Adobe Creative Suite, & EMS is preferred.
WORKING CONDITIONS
- Willingness to work irregular hours, including evenings, weekends, and holidays in alignment with the athletics event schedule; fielding urgent/emergency phone calls or text messages at odd hours on non-event days.
- The role involves regular physical activity, including standing or walking for extended periods; lifting and carrying objects up to 50 pounds; setting up and tearing down event equipment; navigating stairs, fields, and facility grounds; and to perform the following activities: balance, kneel, bend/stoop, push/pull, climb ladders, reach, climb stairs, reach above shoulder, crouch, squat, and repetitive motion using a computer mouse and keyboard to type
- Work is performed in both indoor and outdoor environments, sometimes in inclement weather or varying temperatures. The position may require travel to off-campus athletic venues.
- Frequent interaction with student-athletes, coaches, event personnel, sponsors, external vendors, campus partners, and the general public. Requires a high level of professionalism, diplomacy, and customer service.

Compensation at a Glance
Salary Range: $25.00 per hour
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
