Job Summary
Provide program office coordination and support for the Utah Area Health Education
Responsibilities
AHEC Scholars Program:
Coordinate academic program recruitment, email programs to solidify date of presentations, prepare presentation. Update contact information as needed for participating programs
Reach out to new health profession programs across the state to add them to our programs
Maintain open communication with the program mentors in order to update their preferences, update bios, and assist in recruiting new mentors for the program
Attend recruitment sessions in-person or virtually throughout the year.
Manage scholar applications and approvals on Salesforce. Track applications from Submission to Acceptance, to Student added to Canvas page.
Archive and monitor scholar swag supply.
Facilitate student access to the Canvas Course, help troubleshoot issues with onboarding students
Prepare audits of grades periodically emailing students requirements and missing items in order to graduate.
Maintain Canvas course announcements, calendar, learning modules, reflection forms, student hours, etc.
Plan the Annual Mentor Kickoff Event.
Organize Book Club meetings, contact moderators in order to schedule their sessions, distribute evaluation form after each session.
Assist in distributing books to the different colleges and programs participating in AHEC Scholars
Coordinate other events Utah AHEC may co-sponsor.
Assist in Coordinating the Community Health Talks, there are 4 sessions per academic year, supervise grading to attendees, prepare flyers advertising events
Assist with Lunch and Learn Series, obtain speakers bios, issue outlook invites for the sessions, create flyers for the sessions, post sessions on social media.
Assist with the preparation and permissions to host Movie Night, once per year
Distribute and obtain UT AHEC Scholar program evaluations. Keep updated account of these data, in coordination with program evaluation and education lead.
Program Communication:
Compose and distribute the statewide monthly AHEC newsletter to the board and stakeholders, with contributions from statewide centers.
Coordinate bi-weekly leadership meetings.
Assist Program Evaluator and Education lead for weekly staff meetings.
Maintain the AHEC Scholars Instagram page, assisted by Associate and Executive Director.
Manage Statewide Advisory Board and subcommittees.
Schedule meetings and manage Outlook invitations, track meeting attendance.
Assist the meeting preparation and distribution of agendas and invitation links.
Utah Primary Care Summit:
Schedule the Primary Care Summit date and distribute invitations, track donors, and registration process.
Organize PCS committee meetings, send invites, reminders, and distribute minutes.
Manage registrations and confirmations.
Coordinate annual preceptor nominations and awards, post call for nominations, track voting, print award certificates, obtain bios or awardees, obtain recording of awardees unable to attend in-person.
Assist the Associate Director with agenda, speakers, program materials, etc.
Assistance to Executive Director:
Assists and coordinates the production of publications that are underway to expedite their completion.
Assists and coordinates the production of poster presentations that are underway to expedite their completion.
Assists the preparation of presentations of Executive Director.
Problem Solving
Incumbents in this position are expected to be familiar with the department's policies and procedures and have working knowledge of university and department organizations and procedures in order to answer and assist staff and visitors. Incumbents are also expected to demonstrate sensitivity to others' needs while being understanding and helpful on the job.

Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
Spanish as a second language is desirable.

Work Schedule Summary: In office for up to six months or more during probationary period. After success completion or probationary period hybrid with 2-3 days in office per week. Some nights and weekends.
