Position Announcement
Utah Valley University is seeking a detail-oriented and collaborative Administrative Program Manager to join the Office of Sponsored Programs (OSP). In this pivotal role, you will support both the OSP team and the wider university research community by overseeing a range of complex administrative and fiscal tasks. From managing confidential research integrity cases to maintaining specialized records, inventory, and grant-tracking systems, you'll play a key part in ensuring the smooth operation of UVU's sponsored research efforts.
This position offers the opportunity to work at the heart of university research administration, with meaningful collaboration across multiple campus departments, including Legal, Advancement, Finance, Human Resources, and Academic Affairs. Summary of Responsibilities
- Serves as a key resource for departmental staff: Performs administrative support and handles incoming calls and walk-in traffic; maintains files, office inventory, billing & receiving, ordering, distribution, and staff calendars and travel schedules; prepares and manages budgets, requisitions, purchase orders, financial reconciliations, and payroll and employment processes; assists with planning and budgeting, index tracking, budget reconciliation, budget transfers, journal vouchers, and other financial needs; takes and prepares minutes for meetings, and maintains office records.
- Oversee advanced and complex departmental and organizational processes including: data collection for OSP analytics, institutional grant data storage and management, inventory of institution equipment purchased with grants, preparation of reports for intramural departments and external state government offices; coordination of special divisional events including guest lectures, brown bag lunch events, divisional training events, summer faculty and staff training events, etc.; and serves as the office Web Steward to maintain and improve a technical and informative website.
- Functions as a liaison throughout various levels of the institution, community, and with state government offices. Trains external faculty and staff from across campus in the use of sponsored programs management and development software; assists faculty and staff in submitting and processing personnel, payroll, travel, and procurement forms and documents through grant-funded budgets; and works with faculty and staff who have received new grant awards in preparing information for the marketing department and for a website news feed.
- Works closely with the University Research Officer in managing and dealing with highly confidential matters of research integrity, patent development, human subjects research protections, material transfer agreements, intellectual property management, animal care and use, biosafety, etc.
- Receives job-related training (may require occasional travel) and performs other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's degree and one year of experience related to the summary of duties; OR any combination of education and/or experience totaling five years.

- Higher education systems, university policies and processes, higher education organizational structure; best practices in using AI for general office management, events management, communications, effective operational management, database management, website development, and job-related technologies. How to understand and support the unique needs of students, staff, faculty, executives, community members, and donors.
- Knowledge of job-related computer systems and software is essential to the completion of assigned duties.
