Position Summary:
The University of Colorado's (CU) Office of Advancement manages and coordinates administrative functions that support the campus-based fundraising field staff. These functions include communications, data management, CRM operations, reporting & analytics, estate gift planning, gift processing, marketing, research, and other services. These centralized services place the institution in an optimal position to attract substantial support from the philanthropic sector.
The Assistant Director of Portfolio Intelligence serves as the leader of the Portfolio Intelligence department, helping lead all aspects of prospect management functions for the University of Colorado's fundraising operation. They act as a strategic partner to leaders across the four campuses and President's Office that our team supports, bringing an open, innovative, customer service approach to discussions and using their expertise in prospect management policy, data, and analysis to help find the best solutions to customer needs. They are responsible for hiring, supervising, training, and mentoring six Portfolio Intelligence Analysts. In collaboration with the Director, they set the strategic direction of the team by helping draft annual strategic and operating plans and a budget for the Portfolio Intelligence department. They work closely with the Assistant Director of the Research & Analytics department, who is responsible for prospect research functions at the University of Colorado. They carry out large-scale and sophisticated projects such as benchmarking analyses, guideline documentation, and crafting new reports.
This position reports to the Director of Portfolio Intelligence, Research, and Data Management and is exempt from the State of Colorado Classified Staff System.
Where You Will Work:
This position can be either hybrid (part work from home, part in-office) or fully in-office. System Advancement is located in the uptown neighborhood of Denver. The incumbent will work on CU's four campuses as needed for meetings with fundraising staff, but would also have the option of working space in the System Advancement Denver office. Most meetings are by Zoom, but on average 2-4 a month might require in-person presence.

Duties & Responsibilities:
Duties and responsibilities of the position include, but are not limited to:
Strategic Leadership
- Work closely with the Director and campus leadership to develop, implement and support prospect, pipeline, performance management policies, systems, and plans vital to meet annual fundraising and campaign goals.
- Provide insight and analysis of fundraiser metrics and prospect movement to managers and leadership to inform decision making and management.
- Introduce, implement (or collaborate on implementing), and improve tools and methods to support effective prospect management, including new reports/dashboards and database or data mart adjustments.
- Maintain an active awareness of goals, objectives, and directions of the Advancement program as a whole, and identify connections and opportunities.
- Stay current on prospect development trends and explore new tools and technologies including acting as a first adopter; develop a network of contacts with peers nationwide.
Supervision
- Work with/in consultation with the Director, hire, train and mentor Portfolio Intelligence Analysts on standard CU products and protocols, database use, vendor resources, and prospect management techniques.
- Supervise Portfolio Intelligence Analysts, including preparing annual performance reviews, setting performance goals, and determining glide paths.
- Assist Director with the creation of annual strategic and operating plans; help to implement the plans, supervise, and evaluate progress.
- Supervise the Portfolio Intelligence workloads through queue management and Agile practices.
- Resolve the breadth and timeline of requests as needed.
- Review Portfolio Intelligence Analysts' work products as needed to ensure consistency and quality.
- In partnership with the Assistant Director of Research & Analytics, ensure Portfolio Intelligence Analysts maintain healthy cross-functional processes to ensure high quality outputs with their counterparts in the Research and Analytics team.
Prospect, Pipeline, and Performance Management
- In consultation with campus leadership, plan and supervise regular performance and prospect management processes including bi-yearly portfolio reviews, yearly fundraiser goal setting processes, and pipeline reviews.
- Facilitate regular data-heavy processes such as a prospect sunsetting process, regular reviews of dropped prospects, or data-pulling for new/identifiable metrics not accounted for in existing reports.
- Serve as liaison to several fundraising leaders and principal/planned gift fundraisers, including conducting their portfolio reviews and yearly goal setting, keeping in regular contact about data hygiene, etc.
- Promote collaboration with fundraising staff by coordinating and participating in top prospect strategy meetings with Research colleagues to discuss cultivation and solicitation efforts as needed.
- Be responsible for the creation and implementation of trainings and the creation and updating of documentation on Portfolio Intelligence procedures and policies.
- Collaborate with Assistant Director of Research & Analytics on processes to support the prospect pipelines on the campuses, including ensuring that campaign-related top prospect pools are appropriately managed.
Other Duties
- Participate on committees and/or task forces as requested.
- Participate in testing and implementing system additions, modifications, and improvements.
- Participate in employee engagement activities and serve as ambassador for Central Advancement's mission, vision, values and guiding principles.
- Assist with special projects as requested.

Salary: The anticipated hiring range has been established at $95,000 - $100,000. There may be limited funds available for relocation, if needed.

Qualifications:
Minimum Qualifications:
Please ensure your resume includes any and all relevant experience to be accurately assessed against these qualifications. You must meet all minimum requirements listed at the time of application to be considered for this role.
- Bachelor's degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis)
- Five (5) years' professional experience in the field of prospect research, prospect management and/or major gift fundraising in a higher education fundraising environment
- One (1) year of experience in a team lead or supervisory role, which includes assigning and reviewing the work of others, providing guidance to internal and external team members, and assisting management with performance reviews (this requirement may be substituted by formal leadership training)
- Experience analyzing and presenting data for a non-technical audience
Preferred Qualifications:
- Bachelor's or post-baccalaureate degree from an accredited institution of higher education
- Seven (7) years' professional experience, as indicated above
- Two (2) years' experience in a team lead or supervisory role, as indicated above (one year of this requirement may be substituted by formal leadership training)
- Experience with advanced data pulling and/or data analysis or visualization tools such as SQL, Cognos, or Tableau
Knowledge, Skills, and Abilities:

- Knowledge of prospect and performance management tools; achievement of an in-depth level of competency in the field of prospect and performance management as defined by the Association of Professional Researchers for Advancement (APRA)
- Project management skills to organize data and materials, solve problems, find resolution with others to reach a common objective, communicate information and changes, adapt to shifting priorities, and meet goals
- Oral, written, and listening communication skills to accurately interpret what others are saying and convey messages, information, concepts, and details accurately and clearly
- Expert ability to communicate verbally and in writing
- Ability to build and foster relationships with campus and internal partners
- Ability to handle and maintain sensitive and confidential material
- Digital literacy skills to use Microsoft Office programs (i.e. Word, Excel, PowerPoint, Outlook, etc.) and learn and experiment with new software and systems
