Job Summary:
The Coordinator for Clinical Affairs (CCA) reports directly to the Director of Academic Planning and Operations. The major responsibilities of this position include overall coordination and management of the student clinical placements for assigned programs and departments. The CCA serves a pivotal role in facilitating clinical placements for SONHP students, aligning with their program objectives and training requirements. Key responsibilities include acquiring suitable clinical sites, ensuring accuracy and integrity of all onboarding documentation, and ensuring seamless onboarding experiences for faculty and students.

Full Job Description:
  • Partners with Program Directors and Director of Academic Planning & Operations (DAPO) to identify the clinical placements required to meet the learning goals of the programs; uses knowledge of clinical placement expertise to work directly with clinical site representatives to negotiate units for students to train in, ensure adequate spacing, and determine if site is an appropriate fit for the program.
  • Contacts and maintains relationships with agencies for clinical placements, field placements and internships for assigned programs.
  • Conduct site visits to foster partnership on a need basis, in the absence of the Clinical Operations Manager (COM).
  • Designs, develops and implements continuous quality improvement to ensure the onboarding of students meets program and clinical facility (hospitals/clinical partners) requirements.
  • Works with multiple client-based clinical placement systems, portals, and databases to manage requests for use of clinical facilities.
  • Partners with Program Directors, COM, DAPO in ensuring health requirements compliance is met of all prelicensure students.
  • Facilitate the onboarding process for faculty and students placed at clinical sites to ensure completion and timely start of clinical experience.
  • Manages and maintains a system of record related to clinical placements, fieldwork and practica, and preceptors; analyzes pain points of communication and data systems and develops process improvements.
  • Acts as a liaison between faculty and clinical sites educators for issues related to clinical placement; identifies and streamlines procedures and processes as appropriate.
  • Design and deliver clinical site onboarding orientations for students, faculty, and program directors.
  • Serves as a gatekeeper, understanding the complexity and importance of things such as HIPPA and FERPA privacy and protection laws.
  • Updates and maintains Agency Orientation information on student and faculty portals.
  • In collaboration with the Clinical Ops Manager, consistently analyze tools and systems that may improve the way the team onboards clinical sites or the way that site instructors are on-boarded.
  • Coordinate with the Academic Support Assistant to schedule student orientations and computer training to prevent conflicts.
  • May supervise student workers and maintain Agency Orientation information on portals.
  • Performs other duties as assigned.


Minimum Requirements
  • Bachelor's degree required; master's degree preferred. 10+ years of professional work experience in the health field or student records acceptable in lieu of degree.
  • Minimum 3 years of increasingly responsible professional work experience in related field; professional work experience in academic setting preferred.
  • Substantial professional experience in the health field or student records highly desirable.
  • Strong working knowledge of HIPPA and FERPA regulations highly preferred.
  • Excellent understanding of and experience with various forms of technology and systems, such as smart phone, personal computer, Microsoft Office Suite, Google Suite, etc.
  • Demonstrated ability to learn efficient.
  • Demonstrated ability to remain professional in high stress situations and varying priorities.
  • Detail oriented and highly organized, with ability to balance competing priorities.
  • Excellent oral and written communication skills; including the ability to communicate on a professional level with groups and individuals across the School and the University and with external constituents, ability to edit and proofread complex documents, and ability to draft original correspondence.
  • Strong interpersonal and client relationship skills, including the ability to work with a highly diverse population of students, staff and faculty, and the ability to exchange non-routine information using tact and persuasion and the ability to work and communicate with a highly diverse constituency, from new university graduates to C-level executives.
  • Ability to travel, and work evenings and weekends.
