Outreach Coordinator

Job Summary

The Hinckley Institute of Politics at the University of Utah is seeking motivated candidates with skills in communications, recruitment, relationship building, and database management who want to find a rewarding and challenging job working with prospective students for our programs. A candidate must be able to spearhead outreach efforts and assist with the coordination and support for Hinckley programming in a fast-paced, professional, student-focused and results-driven environment. The ideal candidate will play a crucial role in increasing awareness of Hinckley's internship programs - ensuring all students from all majors know they can participate in Hinckley programs. A major focus will be dispelling misconceptions about eligibility and graduation delays and ensuring students from all majors feel empowered to apply.



Responsibilities
  • Crafting and delivering inclusive, compelling messaging that emphasizes the accessibility and academic compatibility of Hinckley internships for all majors.



  • Partnering with advisors and faculty across disciplines to tailor outreach that resonates with diverse student populations.

  • Engaging in traditional communication and innovative methods that help students learn more about opportunities available at the Hinckley Institute.

  • Attending events, speaking to classrooms, and engaging students across campus to provide information about the Hinckley Institute. Addressing and proactively dispelling common student misconceptions (e.g., internships are only for political science majors, or will delay graduation).

  • Collaborate on social media communications and email campaigns to share information about upcoming and ongoing activities at the Hinckley Institute.

  • Accurately collect, maintain, and update data in our database and from the University of Utah and use data to effectively reach potential interns and students. Create and run reports out of our database without supervision, analyze results, and make recommendations based on that analysis.

  • Initiate and complete projects on time and be able to take decisive action with difficult projects.

  • Work with Academic Advisors and Career Coaches to reach out to students and professors.

Outreach Coordination:

  • Coordinate and organize outreach activities including tabling events, presentations, class visits, Hinckley Open House, etc.

  • Coordinate with campus partners to meet with and present to advisors, career coaches, professors, and other University staff. Actively seek out outreach events and opportunities and meetings with campus partners.

  • Manage student Ambassador program and student staff in order to staff and fulfill outreach activities. Recruit, select, train, and manage student Ambassadors. Organize leadership and skill building workshops and planning meetings with student ambassadors.

  • Collaborate with program managers to understand and identify Hinckley recruitment needs and assist with targeted emails to advisors and campus partners in order to fill these needs.

  • Frequently speak about Hinckley internships and programs, ranging from presentations to large classes, engagements with small groups, and advising appointments with individual students.

  • Assist marketing director with social media content, student spotlights, design projects, event communications, campus advertising placement.

  • Update, maintain, and analyze student data.

  • Consistently seek out ways to improve Hinckley outreach efforts.

  • Stay up to date with the latest trends and best practices in campus intern recruitment.


Hinckley Program Assistance:

  • Serve as a resource for students to answer questions and advise on issues associated with all components of Hinckley internship programs and classes.

  • Be responsible for making decisions (in partnership with program managers) related to running the programs in an effective and conscientious manner.

  • Analyze recruitment data and trends to identify areas for improvement in the recruitment process.


Special Projects:

  • Lead, organize, and/or assist with other Hinckley projects like HIP Talks, voter registration efforts, community engagement, forums, etc.
  • Contribute to youth civic engagement education initiatives with various campus and community partners.

Minimum Qualifications
Bachelor's degree in a related field plus one year directly related experience or equivalency required (2 years related work experience may be substituted for 1 year of education). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
  • Previous experience with Hinckley internships and/or courses.



  • Strong interpersonal and relationship building skills.

  • Highly motivated with a strong desire to succeed.

  • Ability to work independently and be self-directed in recognizing office needs.

  • Excellent oral, written, and telephone communication skills and the ability to relate well to team members.

  • Collaborative in approach and open to new concepts and ideas.

  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)

  • Strong social media skills including familiarity with Instagram, Canva, Facebook

  • Introductory skills in Adobe Programs - InDesign, Illustrator, Photoshop

  • Preference will be given to those able to work some evenings and weekends, as (occasionally) required.

  • Proficiency in data analysis tools and techniques to gather and analyze recruitment data, tracking the success of recruitment channels, and ability to make recommendations on how to improve recruitment process.
