About the Position:

The Administrative Assistant II is a highly visible position that will provide (1) customer service to a variety of constituents and (2) administrative and clerical support for the Office of Dedman College Records and Academic Services during regular business hours: 8:30AM to 5:00PM Monday through Friday. Because this is a highly visible position, the successful candidate should possess a professional, courteous and friendly demeanor. Filling this position will allow for (1) a more effective workflow distribution; and (2) existing staff to better focus and perform their own duties, which should increase morale, productivity, and efficiency for all offices. Filling this position will contribute to the enhancement of the University's ability to recruit, retain, and graduate academically and creatively gifted students.

Essential Functions:

  • Provides administrative support to Dedman Records. Specific responsibilities include (but are not limited to) declaration of all Dedman majors and serves as backup facilitator for minor declarations, assigns Dedman faculty advisors to Dedman majors, prepares petitions to be reviewed by Office Coordinator and Director. Assists Degree Counselors with updating student records and graduation lists.

  • Greets and directs visitors, fields phone calls, and responds to student, staff/faculty e-mails that come into Dedman Records email account and takes appropriate actions. Assists with submitting work requests. Assists with graduation including, scheduling student appointments in Microsoft Outlook, running and printing DPR's and pulling folders, updating the DRAS graduation list as needed.

  • Logs, processes, scans and links student petitions and supporting documentation into the Registrar's Office work flow using Perceptive Content. Ensures that R.O. receives petitions and forms from our office.

  • Creates and maintains departmental databases, routinely updates website, assists with coordinating, planning and preparing for events.


  • Coordinates and orders office supplies for office staff on a monthly basis


Qualifications

Education and Experience:

Associate's degree is required.

A minimum of three (3) years of experience is required.

Preference will be given to candidates with previous full-time work experience in a higher education environment, specifically in a clerical, receptionist, or administrative assistant role.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong verbal and interpersonal communication skills to build relationships successfully with a wide range of constituencies. Must also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential. Candidate must possess strong organizational, planning and time-management skills with the ability to prioritize and manage multiple tasks. Must also demonstrate a strong focus on attention to detail. The ability to be flexible and adapt quickly to changing priorities is essential.

Candidate must possess strong problem solving skills with the ability to be resourceful, proactive and seek assistance as needed. Must also demonstrate the ability to work independently and collaboratively with others. Candidate must demonstrate proficiency with Microsoft Office Suite, spelling and grammar. Experience creating and maintaining a database system. Strong technical aptitude with the ability to learn and apply new applications quickly.
