Job Summary

Serves as primary point of operational contact for the Office of Research and Economic Development (ORED) between varying departments, vendors, and external constituents. Performs and/or oversees a variety of associated administrative, fiscal, staff support, and planning activities for efficient day-to-day management of functional unit, some of which require advanced or specialized knowledge and skills, such as scheduling, budget administration, specialized recordkeeping and database management, equipment/facilities/inventory management, event planning and coordination. Trains and oversees lower graded staff and/or students. May provide direct administrative support to one or more employees at the level of director, executive director, or above, and proactively solves problems and/or independently handles issues in matters of significance on behalf of the director.

Responsibilities
  • Oversees and/or performs a range of diverse administrative activities for the department or organizational unit; serves as a central point of liaison with other departments and external constituencies and executes a high level of customer service in the resolution of a variety of day-to-day matters and ensuring effective communication within the unit
  • Develops and implements organization procedures for managing ORED mail, office equipment and supplies, and regulates ORED email accounts
  • Monitors, reconciles, and assists with fiscal administration for the unit, including but not limited to budgets, grants, contracts, payroll, employment, travel, and/or purchasing; may assist with fiscal planning, ensuring adherence to USG policies
  • Utilizes knowledge and understanding of underlying operational issues to create, compose, and edit technical and/or administrative correspondence and documentation
  • Assists in administrative problem solving, project planning, development, and execution of stated goals and objectives; works with the Director to enhance operational efficiencies, develop effective policies and streamline work practices
  • Researches information, compiles statistics, and gathers and computes various data; prepares special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources
  • Schedules, coordinates, and facilitates meetings, facilities usage, events, and/or travel arrangements, as required
  • Establishes, updates, and maintains unit's files, inventories and records; implements and maintains data management systems, as required
  • Leads and guides the work of lower level staff and supervises student employees as appropriate; may participate in hiring decisions and performance appraisal

Proposed Salary

$24.12 - $27.88 per hour

This is a non-exempt position paid on a biweekly basis
