Position Announcement
As a Benefits Specialist at Utah Valley University, you will play a key role in supporting the well-being and financial security of our employees by administering a comprehensive range of benefits and retirement programs. From health and wellness plans to tuition waivers and retirement options, you'll help ensure that employees have access to the resources they need throughout their careers. In this role, you'll manage critical functions including benefit deductions, vendor billing, compliance tracking, and day-to-day support for employee benefit inquiries and complex issue resolution.

Summary of Responsibilities
- Customer Service - Familiarizes employees with available benefits; assists with benefit related questions and enrollment; researches/resolves benefit related inquiries and issues; assists employees, dependents, retirees, & previous employees with the completion of various benefit forms; works closely with benefit vendors to maintain good communication and relationships.
- Reconciliation - Semi-monthly/monthly reconciliation of multiple vendor billing invoices after payroll is processed; provides necessary reports for allocation/billing charges; compares payroll reports and vendor billing invoices to identify discrepancies and makes needed adjustments; tracks billing discrepancies to ensure vendor adjustments are made within the given timeframe; submits reconciled vendor invoices for payment in a timely manner; provides finance department with appropriate electronic documentation for bank reconciliation; maintains electronic files for record-keeping/audits.
- Communication - Effectively communicates changes & updates associated with the benefit plans; contacts employees regarding payroll benefit deduction/contribution adjustments; composes/distributes professional & accurate benefits communication/education to employees through campus-wide notifications regarding People & Culture Benefit events, Open Enrollment, Benefits Fair, Health & Wellness Fair, Flu Shot Clinics, vendor counseling sessions, federal/state mandates/requirements, and other various benefit presentations/trainings.
- Data Management - Researches, collects, analyzes and maintains benefit data; reconciles payroll reports, orders ACH and accounts payable transactions; maintains accuracy of HRIS tables/files and documentation for all special arrangements associated with personnel transactions related to termination, retirement, and early retirement; researches and collects data for benefit surveys and government reporting.
- Education/Events - Assists in the planning and execution of People & Culture Benefit events including Open Enrollment, Benefits Fair, Health & Wellness Fair, Flu Shot Clinics, vendor counseling sessions, committee meetings, and other various benefit presentations/trainings.
- Performs other job duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a Bachelor's degree plus one year experience in related field, or an equivalent combination of experience and/or education totaling five years from which comparable knowledge, skills, and abilities have been achieved.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of insurance/retirement plans and applicable federal/state laws and regulations; health insurance trends; accounting principles and business operations.
- Knowledge of the Patient Protection and Affordable Care Act and accompanying mandates.
- Demonstrated skills in organizing and maintaining confidential records; customer service; time management, interpersonal, problem-solving.
- Demonstrated skills in account reconciliation.
- Skills in report writing.
- Intermediate/advanced computer skills in a Microsoft Windows environment, including demonstrated skill in Excel, PowerPoint, and database management.
- Ability to research and analyze various types of data and information.
- Ability to understand and apply complex UVU, state and federal regulations.
- Ability to interact with a diverse employee population in a professional manner and to communicate complex information verbally and in writing.
- Ability to objectively coach employees and management through complex, difficult and personal benefit related issues.
- Ability to maintain confidentiality according to HIPAA laws and regulations.
