The Department of Electrical, Computer, and Energy Engineering (ECEE) encourages applications for a Student Services & Scheduling Coordinator! This position will implement strategies that are designed to assist the ECEE Department students and faculty regarding courses and course enrollment within the College of Engineering and Applied Science at the University of Colorado - Boulder (CEAS). The primary responsibilities are to maintain the curriculum, input the course information each semester, and attend curriculum meetings to facilitate changes to the ECEE curriculum. This position will provide support to students that need help with enrollment issues and is also responsible for planning the student graduation/recognition ceremony. This position collaborates with the Associate Chair for Undergraduate Education to implement large-scale undergraduate program changes as well as assisting in the ABET accreditation process.

What Your Key Responsibilities Will Be
Academic Scheduling Liaison:
- Assist the Associate Chair for Undergraduate Education in supporting the implementation of large-scale undergraduate program changes.
- Meet with the Associate Chair and Curriculum Committee, and faculty graduate program leads, to plan each semester's departmental course offerings. Project enrollment numbers based upon previous years' data and incorporate degree patterns and student course needs. Take official notes and archive for the ABET process.
- Follow all deadlines established by the Academic Scheduling Unit within the Office of the Registrar that pertain to room requests and scheduling details within CLSS (CourseLeaf).
- Attend campus, college, and department meetings concerning academic scheduling and registration. Keep abreast of changes to the Academic Scheduling process as set forth by the Academic Scheduling unit in the Office of the Registrar.
- Monitor and update course enrollments, and recommend when to add class sections or move a class to a different classroom and/or meeting pattern.
- Manage the course revision and course proposal process for undergraduate and graduate courses by channeling these through the appropriate department committees and faculty before being entered into various campus programs such as CU-SIS, CLSS, CIM, and CourseLeaf.
- Stay apprised of and implement credit hour changes to any non-standard meeting pattern courses requested by the Office of the Registrar due to University Calendar Changes.
- Work with ECEE department advisors and the Curriculum Committee to update the University course catalog annually.
- Maintain public and internal course schedules and website curriculum pages.
- Set-up, maintain, and update courses in the university course scheduling system for summer, fall, and spring terms.
- Keep historical data on course enrollments, classroom usage, courses offered (both distance/online and on-campus,) and other course-related information while providing analytics.
- Schedule rooms for ad hoc academic events (review sessions, course skills training, etc.) as requested by individual faculty and in coordination with the Front Desk staff. Coordinate special room usage needs with ITLL and DLC scheduling liaisons as needed.
- Communicate course schedules with all interested parties.
Course Support Coordination:
- Manage all student course support hires for all ECEE courses and degree programs using the budget/hiring formula set by the department's Executive Committee e.g. Learning Assistants and Graduate Learning Assistants
- Recruit graduate and undergraduate students seeking to act as teaching or hourly assistants for all courses, while following student employment office requirements. Generate and submit related hiring materials and conduct student support onboarding using the required training Canvas. Maintain information on abilities and prior performance through faculty feedback.
- Assign student hires to appropriate offices to hold office hours.
- Manage the Post-Enrollment-Requirement Checking (PERC) reports each semester, including messaging with students and advisors to obtain course credentials and process add/drops.
- Compile a database of course syllabi for ABET process and reference for advisors.
Enrollment and Student Services:
- Create and implement policies and processes to provide direct support to students with course overrides, late-adds, drops and other related course enrollment assistance.
- Make adjustments to student enrollment permissions, add/drop/wait-list status, and pre-requisite overrides. Respond to enrollment requests from faculty and administrators in accordance with set departmental enrollment policies.
- Send out email communications to students as requested by the Associate Chair for Undergraduate Education.
- Plan, implement, and direct both the Fall and Spring graduation/recognition ceremonies for graduating students, enlisting help from other staff members in the department and ensuring that the events meet student, department, and campus expectations.
Department Evaluation & Improvement & ABET:
- Serve as ECEE Faculty Course Questionnaire (FCQ) Coordinator, ensuring online vs. paper FCQ delegations are made according to faculty wants/needs.
- Maintain online files for all FCQ results.
- Pull FCQ information as requested by the department chair for faculty comprehensive reviews.
- Assist Associate Chair for Undergraduate Education with ABET accreditation process; updating/collecting relevant department information, collecting data/statistics, etc., as appropriate.
Other:
- Undertake other duties and responsibilities as assigned.
- Stay apprised and current on relevant University and State of Colorado policies and procedures.
- Participate in professional development activities and serve on department, college, or campus committees as applicable.
- Recommend and implement process improvements to increase department efficiency.
- Document all processes and procedures in a desk manual making them accessible to team members.
What We Can Offer
Starting salary range is $50,000 - $53,000. Relocation assistance is available within department guidelines.
