Job Description:

Madison College, in beautiful Madison, Wisconsin, is seeking skilled and engaged candidates for the position of Grant Specialist. This position provides expertise in identifying, developing and securing grant funding opportunities that align with institutional priorities as well as serving as Authorized Organizational Representative (AOR) and supporting compliance with post-award processes.

Success in this role involves collaborating with faculty, staff and leadership to conceptualize projects, develop competitive proposals and ensure compliance with funding requirements. This position contributes to institutional objectives by expanding financial resources, supporting innovation and enhancing programs that advance student success and institutional growth. WORK LOCATION: Preference for Wisconsin-based candidates able to work onsite a minimum of 2 days/week (hybrid schedule subject to change per college policy). Remote applicants from WI or the following states will also be considered: AR, IL, IA, KS, KY, MI, MN, NJ, NY, OK, WA, OR, TX. This position does not offer a relocation package.

General office hours are Monday - Friday from 8:00 a.m. - 4:30 p.m. CST. This posting may be used to fill similar vacancies that occur within 12 months of the closing date.

Madison College provides a generous benefits package of vacation, holidays, health/vision/dental/life insurance options, and you will be able to participate in the Wisconsin Retirement System (WRS). The employee selected will serve a twelve (12) month introductory period.

Duties/Responsibilities:
  • Advances institutional funding opportunities by leading grant proposal development, ensuring alignment with college priorities and fostering collaboration among faculty, staff and leadership.
  • Enhances strategic decision-making by identifying and evaluating potential grant opportunities, ensuring compliance with funding requirements and assessing risk and alignment with institutional goals.
  • Strengthens pre-award grant processes by developing and refining policies and procedures that improve efficiency, ensure compliance and support successful grant submissions.
  • In collaboration with the Director, writes policies and procedures to adhere with federal compliance regulations (such as: Conflict of Interest, Responsible and Ethical Conduct of Research, Research Security, etc.), facilitates training of faculty and staff on required compliance requirements, and monitors completion of training.
  • Builds institutional grant capacity by providing faculty and staff with training and resources that improve grant development skills, manage applicable award(s), support compliance and expand access to funding opportunities.
  • Ensures effective grant administration by serving as a liaison to federal program officers, facilitating communication and advocating for institutional funding needs.
  • Maintains compliance and funding integrity by managing grant submissions, new awards and revisions as the Authorized Organization Representative (AOR), ensuring accuracy and adherence to federal grant system requirements.
  • Contributes to an inclusive, equitable and supportive environment where everyone at the institution feels valued, respected and empowered to reach their full potential.
  • Adheres to college policies, directives and work rules while maintaining a commitment to the college's mission, vision and values.
  • Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.


Knowledge, Skills, and Abilities:
  • Knowledge of federal, state and foundation grant regulations.
  • Skill in data analysis and interpretation.
  • Skill in analyzing grant funding opportunities.
  • Ability to exercise independent judgment in analyzing, interpreting and reconciling financial data.
  • Ability to prioritize and manage workloads to ensure timely completion of assignments, adherence to deadlines and effective workflow distribution.
  • Ability to communicate complex information clearly and effectively, including training and dissemination of information to others.
  • Skill in engaging positively with all populations and communities, contributing to a safe and inclusive learning and work environment.
  • Skill in effectively and respectfully communicating with others.


Minimum Qualifications:
  • Bachelor's Degree required. An Associate's Degree may be considered with equivalent additional work experience.
  • Experience:
    2-4+ years of relevant, professional, and progressive work experience.


Preferred Qualifications:
  • Experience developing, writing and submitting large federal and private grants
  • Experience in Higher Ed grant proposal writing/office of sponsored programs highly encouraged
