JOB SUMMARY

Reporting to the Director of Facilities the Project Manager is responsible for the successful planning and execution of facilities-related projects, including mechanical, electrical, civil, and architectural applications. This role encompasses administrative, communication, and budgetary control responsibilities, and involves
planning, organizing, coordinating resources, implementing, directing, and controlling projects. Effective communication with internal and external stakeholders is essential. This position supports Simmons University's evolving project needs.

ESSENTIAL JOB FUNCTIONS
  • Plan and manage multiple projects from conception through completion.
  • Ensure project delivery meets cost, schedule, quality, and contractual requirements.
  • Develop work assignments based on input from the Director, stakeholders, and institutional priorities.
  • Manage project budgets, schedules, scope development, design, construction contracts, and documentation.
  • Review and recommend action on consultant invoices, contractor pay applications, and change orders.
  • Maintain records of installations and repairs to building and facilities equipment.
  • Interpret and mark up engineering drawings and technical sketches.
  • Work on complex construction-related issues.
  • Ensure compliance with Simmons University policies.
  • When required prepare and present reports to management; attend and document project meetings.
  • Support long-range and expense budget planning.
  • Assist facilities staff with troubleshooting and problem-solving.
  • Coordinate with vendors and subcontractors to meet performance criteria.


OTHER DUTIES AND RESPONSIBILITIES
  • Assist with administrative tasks including invoice processing, purchase requisitions, and budget tracking.
  • Serve as tenant liaison for internal department moves and work order submissions.
  • Ensure compliance with City of Boston permits and licenses.
  • CMMS administration including role management and report generation.
  • Record meeting minutes and prepare reports as assigned.
  • Other duties as assigned.


REQUIRED QUALIFICATIONS
  • Minimum 5 years of experience in facilities project management or construction.
  • Strong knowledge of building systems and construction practices.
  • Proficiency in project management software and Microsoft Office Suite.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to manage multiple projects and deadlines effectively.


PREFERRED QUALIFICATIONS
  • Professional certification (e.g., PMP, PE, LEED AP).
  • Experience in higher education or institutional facilities management.
  • Project and budget management tools.

WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS
  • Office and field environment; may require walking, standing, and occasional lifting.
  • Must be able to navigate construction sites and mechanical spaces.
  • Occasional evening or weekend work may be required based on project needs.
  • Compliance with safety protocols and protective equipment requirements.
  • 20 Hours Per Week
