The Assistant Director, Enrollment Services is responsible for operational aspects of BU Study Abroad admissions and enrollment processes serving 2,500+ students per year, supporting Study Abroad's strategic goals. The Assistant Director monitors and evaluates the admissions process and program-specific pre-departure workflow. This position interacts daily with students, advisors, parents, partner institutions, and program site staff, and must foster strong working relationships with key academic and administrative units on and off campus. The Assistant Director leads a team of six Program Managers within the larger Enrollment Services team.
Key Responsibilities/Essential Job Functions:
- Hire, train and supervise work of the Program Managers responsible for student admissions. Confirm program and track capacity with site staff and internship providers and implement admissions plan. Coordinate with Program Management team and advise on application review, admissions decisions, waitlists, holds, rejections and program switches. Give recommendations on alternate programs. Manage deadline extensions and closing of application for programs and tracks post application deadline, work with webmaster to make appropriate updates and communicate changes to staff. Give admissions/data updates at Executive staff meetings and to GP leadership as appropriate, and give recommendations for targeted messaging and outreach based on data trends, in coordination with the Study Abroad Outreach team. Troubleshoot with students, parents and other constituents on issues that need to be elevated, especially as these relate to admissions decisions. (40%)
- Supervise and work to continuously improve the post-acceptance process. With Program Management team, and in consultation with ES Leadership Team, develop and/or update and review program-specific informational materials including email communications and pre-departure information. Coordinate pre-departure content, programming and delivery, together with Health, Safety and Security team and with site staff to ensure continuity between pre-departure preparation and on-site orientation. (30%)
- Manage review of student medical information and appropriate follow-up with students, act as liaison with Disability and Access Services (DAS) and coordinate appropriate follow-up with students regarding accommodation needs; coordinate processes for students with judicial sanctions; collaborate with ISSO on international student issues; liaise with BU Housing; coordinate with travel agent for as needed for group flights. (20%)
- As a member of the Enrollment Services Leadership team, support Executive Director in developing, implementing and enforcing Study Abroad enrollment policies, procedures, strategic plans, goals and recommendations. Back-up to Program Managers when their primary back-ups are absent or when position is vacant, and on occasion back-up to other ES Leadership team members. (10%)
Required Skills
- Relevant B.A/B.S required (Master's degree preferred).
- Three to six years of relevant experience required, preferably in a higher education setting. Study Abroad experience a plus.
- Excellent supervisory skills and ability to lead and motivate a team of professionals.
- Demonstrated ability for strategic thinking and planning and experience in change management and project management.
- Experience with various relational database platforms, advanced knowledge of MS Excel or other data tools, ability to learn custom systems quickly and to leverage limited technical resources effectively. Experience in FileMaker Pro development, basic HTML, basic SQL, and web design preferred.
- Strong analytical, problem solving, written and oral communication skills.
- Ability to handle sensitive student information with discretion.
