Job Summary

The University Analytics & Institutional Reporting (UAIR) office houses a transformational group of data professionals that turn complex university data into meaningful, highly valued information, trusted by university leadership to drive strategic decisions and generate official figures reported to regulatory, external and public agencies.

UAIR is seeking a highly organized and detail-oriented administrative assistant to provide comprehensive support to our leadership team. This role is vital in ensuring the smooth and efficient operation of our team by managing daily tasks, communicating effectively, and offering a positive customer experience.

This position is intended to be hybrid. The expectation is that the individual will be in-person on the U campus on a flexible schedule. The successful candidate should plan to be in-person two days a week and the schedule specifics can be discussed further during the interview process. Our office is not currently able to support individuals seeking sponsorship for visa-living in and working from the state of Utah is a requirement.

Responsibilities
Responsibilities:
  • Oversees administrative matters regarding the day-to-day operations, procedures, and activities for UAIR
  • Coordinates travel itineraries and accommodations
  • Assists with human resource and payroll processes
  • Processes and reconciles accounts for purchases, employee travel and reimbursement, and maintains UAIR budget
  • Assists with scheduling meetings and maintaining calendars for the UAIR leadership team
  • Coordinates virtual and in-person training events
  • May assist with UAIR website updates/maintenance
  • May prepare, review, and organize correspondence, reports, and meeting materials, as needed
  • Assists with communicating and coordinating team and division events and staff meetings
  • Assists with onboarding new UAIR employees



Minimum qualifications:
  • Bachelor's degree in a related area of assignment of equivalency (one year of education can be substituted for two years of related work experience) and 4 years of progressively more responsible management experience.
  • Background knowledge of assigned department's area of specialization in order to analyze, plan and draw conclusions for recommendations to leadership



Minimum Qualifications
Bachelor's degree (or equivalency) in Business, Finance, Health Care Administration or a related field. Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required.

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor's degree = 4 years of directly related work experience.)
