Job Summary
The Administrative Director of COO Operations, reporting to the Chief Operations Officer of the University of Utah, will partner with the COO to deliver on key operational challenges. They will help to identify challenges, develop solutions and drive efforts to complete projects. The Director will aid in overseeing daily operations and ensure the organization is focused on high priority items delivering significant value for the University.
Responsibilities
Key Responsibilities:
- Partner with the COO to develop and deliver on Office of the COO and University of Utah priorities
- Deliver on top priority projects for the COO that necessitate cross-university collaboration and engagement
- Support other team members in delivering on their projects and responsibilities in an efficient and effective manner
- Identify and help resolve key challenges as they arise
- Prepare the COO for upcoming meetings and ensure required materials and information are prepared
- Serve as a liaison for the COO with members of the Senior Leadership Team and other senior stakeholders
- Assist in drafting materials and synthesize insights and information for the COO (e.g., create documents and presentations, draft emails, write speeches and key talking points)
- Manage key communications with University of Utah stakeholders on behalf of the COO
- Effectively communicate within project teams and to management
- Action and confirm completion of key action items and deliverables for the COO
- Act as proxy for COO in key meetings, as needed
- Confirm and escalate decisions for the COO, as needed
- Collaborate with the COO, Executive Assistant and broader team to ensure the COO's schedule is aligned with the highest priority items and makes the best use of the COO's time
- Protect and handle confidential data
- Strong critical thinking and analytical skills
- Ability to work collaboratively in a team environment
- Excellent interpersonal, written and oral communication skills
- Experience planning, organizing and executing key projects in a large organization/institution across departments
- Strong project management skills
- Demonstrated success in planning and executing key initiatives
- Ability to lead in absence of the COO
- Prior experience or focus on operations management
- Prior management and leadership experience
- Detail oriented and strong organizational skills
- Self-sufficient and ability to set own direction
- Proficient in Word, Excel and PowerPoint
Minimum Qualifications
Bachelor's degree and 9 years of management experience (or equivalency - years of experience can be replaced for years of education and vice versa)
Preferences
Masters degree in Business Administration or related area
