Job Summary
Campuswide Advising Solutions at the University of Utah supports students at critical moments in their academic journey -when they're deciding to apply, commit, or continue after experiencing academic challenges. We ensure students receive consistent, coordinated, and accurate information through managing campuswide advising programs and creating student-centered resources.
The Proactive Advising Program leverages university-wide resources and coordinated academic advising to deliver targeted student interventions through the Academic Standards and Milestone Advising Programs. These programs aim to develop student-centered resources and advising support to help students engage in and complete their degrees. The Proactive Advising Manager plays a vital leadership role within Campuswide Advising Solutions including leading a team of two Academic Advising Coordinators. This individual oversees the assessment, delivery, and university-wide coordination of required advising efforts related to academic standing and key degree milestones.
A successful candidate will have a strong record of collaboration across academic units, experience designing proactive and positive advising interactions, and a commitment to data-informed decision-making. They should demonstrate the ability to partner effectively with campus services -including disability and accommodation services, student mental health professionals, student success coaches, and other support offices -to ensure holistic and equitable student support. Comfort with technology is essential; the ideal candidate will be familiar with advising technologies and student information systems and able to leverage these tools to enhance the student experience. This role is central to implementing programming aligned with the university's Academic Standards policy, advocating for students, and addressing barriers to academic success, all while upholding institutional standards.
In addition to program management, the Proactive Advising Manager will advise a small caseload of students who may be underperforming academically or navigating academic difficulties. This includes students on academic warning, probation, suspension, or dismissal. The advisor will work closely with each student to identify barriers, set realistic and personalized goals, and promote academic recovery, major declaration (when appropriate), and student planning toward graduation. They will be fully trained in all areas of Academic Standing advising, with an emphasis on the connection between academic setbacks and major exploration. This position reports directly to Ashley Glenn, Director of Campuswide Advising Solutions.

Responsibilities
Program Administration
Manage and deliver communication of academic standings to all impacted undergraduate students at the end of each semester
Collaborate with the Office of the Registrar to maintain the technological processes necessary to place academic standings and milestone advising holds
Chair the Suspension Appeals Committee and lead trainings on supporting students through the appeals process
Administer a consistent Academic Standards program, ensuring accessibility through clear communication of policies, processes, and resources (e.g., forms, website, and support materials)
Serve as the primary point of contact for Academic Standards inquiries from campus partners and advisors, providing expert guidance and support
Evaluate current processes and recommend strategies to enhance accessibility, equity, and efficiency of the Academic Standards program
Supervisory Support and Program Leadership
Set the vision and direction of the Proactive Advising Team
Direct and supervise staff by hiring, training, establishing goals, supporting staff development, and evaluating performance
Participate in monthly Manager Meets to continue to develop leadership style and approaches
Prepare and manage budget to reach program goals
Collaboration with Campus Partners
Liaise with campus partners -Academic Advising Standards Council, Admissions, Registrars, Financial Aid, Dean of Students, Asia Campus Advising, Student Success Coaches, and other University organizations
Facilitate communication with colleges to streamline communicative processes and ensure students have access to consistent and accurate information
Collaborate with Campuswide Advisor Training and Development Team to develop trainings and materials on academic standards advising, academic renewal pathways, and milestone advising
Data Collection and Reporting
Develop and implement a data collection plan to monitor academic standings, workshops completed, holds removed, students returning from standing success rates, and assessment methods
Use data insights to evaluate the program's effectiveness and recommend improvements
Student Advising and Support
May lead proactive advising initiatives and campaigns designed to support academic success of defined student groups
Advise undergraduate students from various backgrounds in areas including academic standards, academic renewal policies, early college advising, and prospective/newly admitted/returning student advising, when available
Facilitate students' academic progress by evaluating their needs and developing appropriate educational plans. Makes referrals for students who need assistance with learning differences, specialized tutoring, extended or intensive assistance with career decisions or similar needs
Other duties as assigned which may include advising special populations, class presentations, assessment, internal and external committees.

Minimum Qualifications
Bachelor's degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.

Preferences
Experience in advising defined as higher education and college-preparation positions that are student-facing and incorporate a developmental approach "where one informs, suggests, counsels, coaches, mentors, teaches" Kuhn, T. (2008).
Supervisory and/or program management experience
Demonstrated commitment to the holistic support of all students, with particular attention to students from historically underserved backgrounds, including first-generation, academically underprepared, facing socio-economic challenges, and students receiving disability or accommodation support.
