Job Description:


The Vice President of Student Services & Enrollment Management (VPSSEM) is responsible for providing leadership for the Student Services & Enrollment Management division, as well as creating and encouraging cross-collaboration with other divisions to promote student success.

The Staff Associate provides direct support to the VPSSEM, Dean of Students (DOS) and the Dean of Enrollment Management (DEM). In addition, they provide assistance to Student Services and Enrollment Management departments, including collection of assessment data, report preparation, and assisting with the management of fiscal resources. Housed in Brockton, this position assists with Student Affairs functions at all college locations.

Responsibilities and Duties:
  • Provide confidential administrative support to the Student Services and Enrollment Management (SSEM) office, including but not limited to managing calendars, travel reimbursements, taking and distributing accurate minutes of meetings, managing purchase requisitions and work orders; assist in the oversight of the SSEM budget and the monitoring of all SSEM departmental budgets.
  • Serve as frontline staff for the VPSSEM, DOS and DEM; provide customer service to internal and external partners; respond to students in crises by making referrals, documenting interactions, and making intakes as appropriate; serve as a member of the College's CARE Team.
  • Oversee the record-sharing process with external partners (such as BAMSI/Whitman Counseling) for students utilizing the United Student Fund for services; liaise with external partners, Student Financial Services, Comptroller's Office, and others to ensure invoices are appropriately processed and records are accurately updated.
  • Recruit, train, and supervise VPSSEM Office work-study students; Oversee the collaborative training of all work-study students within Student Services and Enrollment Management.
  • Coordinate the faculty notification process for student absences, youth learners, and chosen name requests.
  • Assist students with Basic Needs and Health & Wellness referrals.
  • Complete background checks (FBI, Colleges, Businesses) for disciplinary infractions or verification of attendance.
  • Verify and complete college transfer report requests for students and keep accurate databases for both the VPSSEM Office and Registrar's Office.
  • Provide information related to student appeal and grievance processes; follow up with students and parents with status updates.
  • Manage DOS inbox, phone line, and mail.
  • Manage Commonwealth Commitment inbox; monitor and assign Commonwealth Commitment Program applications for review through Maxient, maintain a database of program participation data and prepare and send program data to external partners each semester; coordinate meetings, agendas, and minutes for, and serve on Commonwealth Commitment Program Implementation Committee.
  • Develop, and maintain files, records, and databases; create and assign cases via Maxient; update disciplinary, CARE Team, appeals, student absence notification, and grievance records as appropriate.
  • Assist with the coordination of special events and training, including facilities/media reservation, publications, and promotion.
  • Assist in the monitoring, maintenance, and addition of information to the College's Ai Chatbot; receive and complete updates for platform from college community through the college's ticketing platform.
  • Assist in the collection, analysis, and presentation of assessment data, including the creation and distribution of the Student Services & Enrollment Management newsletter and monthly reports.
  • Attend EPIC meetings and serve on the Strategic Enrollment Management Planning Team; coordinate agendas and provide detailed meeting minutes for meetings associated with these committees.
  • Serve as a member of the Student Services & Enrollment Management Leadership Team; keep minutes and assist with key initiatives.
  • Exercise discretion in dealing with confidential information; understand FERPA and ensure release forms are on file prior to the sharing of information.
  • Assist with student orientations and other SSEM Events.
  • Stand in for the VPSSEM, DOS, & DEM and represent the Office in meetings and/or events as needed.
  • Attend professional development conferences, college meetings, and division meetings.
  • Perform other related duties as assigned.



Requirements:


  • Bachelor's degree or higher, and five (5) or more full-time years' experience working within a college setting; or equivalent combination of education, training, and experience.
  • Experience working with technology such as student information and data management systems as well as the Microsoft Office Suite.
  • Ability to complete a high volume of tasks and projects both independently and collaboratively.
  • Experience working with diverse student populations.

Preferred:
  • Master's degree
  • Fluency in a second language.
  • Prior experience within a community college setting.
  • Experience with technology platforms used in higher education including Zoom, Microsoft Teams, Banner, Argos, DegreeWorks, Google Workspace, Dynamic Forms, Maxient, Team Dynamix, Constant Contact or similar product, Ai Chatbot technology, Visio or similar diagram software, CRM technology and EAB Navigate or similar student retention software.



Additional Information:


Position Status: Non-unit Professional, full-time state funded with benefits

Hours: 37.5 per week, Occasional night and weekends events

Salary: $57,000 - $68,000. Commensurate with education and experience

Worksite: Assignments will include all Massasoit sites
