Job Summary:

University of San Francisco (USF) is looking to bring on a temporary Project Manager-Workday within the ITS Department. Resumes are being looked at immediately and qualified candidates will be considered.

This key player will have 7-10 years of experience successfully leading projects throughout the project lifecycle from Project Charter to Request for Information (RFI)/Request for Proposal (RFP) through to Project Close with a focus on projects relating to Information Security. The initial assignment of this Project Manager role is on an Information Access Management implementation project.

The Project manager is expected to plan, execute, and close projects, within scope, schedule, and budget and to the quality standards defined by the sponsor. The Project Manager will be responsible for coordinating and collaborating with teams across various USF departments, third-party contractors or consultants, while reporting to the IT Program Manager.

    Job Responsibilities:

    Manage USFs complex, strategic institutional, related to the Workday HR system implementation.
    Develop and lead project assessment phase from project charter, to RFI/RFP and through Statement of Work (SOW).
    Develop and manage all aspects of project engagement from planning, external vendor relationships, communications, resources, budget, change, risks and issues.
    Set and continually manage project expectations with team members and other stakeholders.
    Delegate tasks and responsibilities to appropriate personnel.
    Identity and resolve issues and conflicts within the project team.
    Identify and manage project dependencies and critical path.
    Track project milestones and deliverables.
    Develop and deliver progress reports, proposals, requirements documentation, and presentations.
    Determine the frequency and content of status reports from the project team, analyze results, and troubleshoot problem areas.
    Define success criteria and disseminate them to involved parties throughout project life cycle.
    Identify and develop trusted advisor relationship with project stakeholders, sponsors and university stakeholders.
    Coach, mentor, motivate and supervise project team.
    Deliver appropriate and effective executive level communication.
    Provide regular and accurate updates and escalations to the Project Portfolio Management (PPM) Committee.
    Demonstrates a good understanding of information/data security technologies, trends, interdependencies and challenges within the not-for- profit, government or higher education industry.
    Ensure that projects are proceeding according to scope, schedule, budget and quality standards.
    Manage project issues and risks to mitigate impact to baseline.
    Facilitate project change order process, assessing impact to baseline, in order to accommodate potential changes, while staying On Track.
    Ensure smooth transition of completed projects into operations, including coordinating with the ITS Help Desk, Service Area owner and any Third Party Support.
    Work with the Service Manager to ensure project deliverables and documents are uploaded and archived and the Configuration Management Database (CMDB) is updated.
    Extensive understanding of project management principles, methods and techniques.

    Minimum Requirements:

    University degree or college diploma in the field of business management, HR, information systems, and/or project management. Experience can substitute for field of study.
    7-10 years of direct work experience in a project management capacity, including all aspects from planning to execution and close with a focus on Workday implementation projects.
    Experience managing enterprise wide, complex projects; ability to organize and prioritize multiple project tasks.
    Experience implementing and/or strong understanding of HR, HRIS management processes (e.g. End-to- End, Benefits, Timesheets, Payroll, Recruitment, Learning, etc.)
    Demonstrated project management skills and experience with various project management methodologies and tools.
    Experience drafting and submitting budget proposals, and recommending subsequent budget changes where necessary.
    Experience successfully leading projects and programs to on-time, on-schedule, within budget close.
    Experience leading, motivating and managing various project team sizes, including internal and external resources, while holding team accountable for performance.
    Experience presenting to executive sponsors and demonstrated communication skills; both written and oral with technical and non-technical staff, all levels of management.
    Experience influencing and gaining buy-in from executive sponsors, team members, stakeholders and peers.
    Team-building skills with technical and non-technical staff.
    Experience at working both independently and in a team-oriented, collaborative environment.
    Flexible with proven ability to conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
    Technically competent with various software programs, including but not limited to Microsoft Office (Word, Excel, PowerPoint, Visio), Microsoft Projects, Service-Now, Basecamp or similar Project management tool
    Adept at conducting research into project-related issues and products.
    Must be able to learn, understand, and apply new technologies.
    Supportive of a diverse and inclusive work environment.

    Additional Knowledge, Skills, and Abilities:

    Desired Knowledge and Skills:
    PMIs Project Management Professional (PMP) certification
    Familiarity with Workday a plus
    Experience in managing multiple projects a plus
