The Student Life Human Resources (SL HR) department is part of the Division of Student Life at the University of Michigan. The department provides the full employment life cycle of services to the 1200+ employees and approximately 3000 student staff within the Division, including both professional and bargained-for staff and temporary employees, both student and non-student.. The staffing center is part of the transaction team within the SL HR Department who manages all the recruiting processes for professional, bargained-for and student and non-student employees for the division.

Job Summary

The HR Assistant Associate will be part of the transaction team and manage student and non-student temporary employment processing and support I-9 processing for all new hires, including I-9 recertification for faculty, staff and temporary employees. The HR Assistant will provide a high level of customer service.

Responsibilities*
60% - Hiring Process Administration:

  • Manage hiring processes for assigned group or client base, including internal/external postings, preparing offer communications, and tracking applicant/employee status for temporary, bargained-for, and student employees
  • Establish and maintain personnel records in the M-Pathways Human Resource Management System (HRMS) for assigned group or client base, including reclassifications, funding changes, and terminations
  • Coordinate and facilitate meetings with unit managers and leaders to understand unit needs related to recruitment and hiring
  • Provide in-person training to new supervisors on hiring processes for student and temporary employees
  • Serve as a resource to others for routine questions and the resolution of complex problems regarding University and divisional policies and student and temporary employment

40% - General Administrative Responsibilities:
  • Serve as contact for Student Life Staffing Office and provide excellent customer service when greeting and assisting faculty, staff, students, and visitors
  • Assist Shared Services staff with processing and maintaining Personal Data Validation Forms and Federal I-9 employment eligibility paperwork, including recertifications and E-Verifying contracted employees in compliance with federal regulations
  • Prepare and disseminate administrative communications and reports as needed (e.g. Business Objects reports to obtain data for analysis)
  • Practice Lean methodology, such as participating in team huddles and performing experiments that may involve external stakeholders for process improvement
  • Participate on special project teams supporting HR Strategic Initiatives
  • May conduct and summarize internal and external surveys to gather information for policy development and planning
  • Other duties as assigned

Required Qualifications*
  • Associate's degree in HR, Business Administration, or related field; or 2 years combined relevant education and experience
  • 1-2 years office or administrative support

Desired Qualifications*
  • Considerable knowledge of and ability to use advanced business software and computer applications.
  • Experience working with MPathways and Wolverine Access systems and knowledge of University policies and procedures
